    PRIMARY FUNCTION:
    To assist the preschool director/principal by performing responsible clerical and technical work involving the preparation and maintenance of fiscal or related documents for preschool programs.
     
    QUALIFICATIONS:
    1. A high school diploma, supplemented by courses in business mathematics and some experience in general office work
    2. General knowledge of clerical/accounting terminology, methods and procedures
    3. General knowledge of standard office procedures and practices
    4. Ability to establish and follow detailed work procedure
    5. Proven skills in written and verbal communication, especially interpersonal skills
    6. Integrity, professionalism, and dedicated work ethic
    7. Self-motivated and proven ability to work as a member of a high-performance team
    8. Advanced level of proficiency with Microsoft Office programs
    9. Strong written and oral communications skills
    10. Ability to manage multiple projects simultaneously
    11. Strong organizational and analytical skills
    12. Able to read and understand financial reports
    13. Willingness to establish and maintain effective working relationships
    14. Previous experience with Head Start, Virginia Preschool Initiative or Early Childhood Special
    Education programs preferred
     
    REPORTS TO:  Preschool Director/Principal
     
    Job Responsibilities:
    Fiscal Management
    • Manage general ledger accounts and required entries for local, state and federal accounts related to preschool programs
    • Draw down funds as incurred for timely reimbursement
    • Oversee preschool fiscal compliance and processes; assist in monitoring compliance with grant and government guidelines, ensure compliance with funding source and administrative guidelines by monitoring and maintaining timely receipt of revenue, accurate submission of financial reports, and orderly closure of project
    • To prepare and reconcile each year for audit
    • To sort, proof, and prepare material for posting and working with the postage machine
    • To track records, accounting statements, and vouchers for all preschool program budgets
    • To prepare all purchase orders and requisitions for preschool programs
    • To check in all shipments of goods relating to purchase orders and requisitions
    • To maintain a supply inventory and order supplies as needed, work with vendors and bid out as required.
    • Responsible for preschool grant accounting functions, preparation of required grant reports and financial documentation maintenance
    • Prepare bank reconciliations, journal entries, and month end close
    • Review reports for consistency, accuracy, and compliance with funding sources
    • Review compliance reports and respond to inquiries in a timely manner
    • Continuously identify and implement work process improvements to streamline accounting methods and processes to ensure efficiency and effectiveness between preschool programs
    • Maintain the security and confidentiality of all accounts and records
    • Other duties and special projects as assigned
    • Prepare and distribute financial and cost reports to grant funding sources, as well as internal departments and stakeholders; organize and prepare federal, state, and other budgets and financial information for preschool director/principal
    Teamwork
    • Develop and maintain strong working relationships with administration, management team and preschool staff to ensure program needs, goals, and objectives are being met
    • Work closely with the administration, team leadership and staff and other departments to ensure financial management is operating in a manner that is consistent with FCPS’ fiscal philosophy and grant requirements, as well as operating efficiently and effectively
    • Actively participate in exhibiting cultural awareness and sensitivity when interacting with staff, students, and the community
    • Work as team player and exhibit professional behavior and a positive attitude that reflects positively on preschool programs and is consistent with FCPS policies and practices

    TERMS OF EMPLOYMENT: 12 Months
     
    EVALUATION:     Performance on this job will be evaluated in accordance with School Board policy and administrative regulations on evaluation of classified personnel.
