DUTIES AND RESPONSIBILITIES:
Provides clerical and accounting support for the Title I, II. and IVa programs.
Plans, initiates and carries to completion clerical and administrative support activities.
Maintains financial records on incoming correspondence and action documents, and follows up on work in progress to ensure timely response or action.
Formats and types confidential and general correspondence, reports, and statistical data; tabulates and prepares reports of financial and statistical data.
Compiles data for reports; gathers and interprets information from appropriate sources; may prepare information and presentation packets for use by a supervisor or coordinator.
Submits requisitions as required based on procurement amount, issuing purchase orders to vendors, and tracking spending based on approved purchase orders

Works with the Director with grant management:
Submitting requisitions as required based on procurement amount, issuing purchase orders to vendors, and tracking spending based on approved purchase orders
Monitor purchases and coordinate submission of invoices and/or material receipts to Finance to ensure timely payments to vendors.
Entering budget transfers and monitoring available funds.
Processes travel paperwork for professional development activities for division and federal programs, ensuring adherence to all policies and procedures.
Coordinates payments for conferences related to education, tuition reimbursement, and professional development, maintaining accurate records and adhering to budget guidelines.
- Fields questions and assists others in the absence of the Director of Federal Programs and Executive Director’s Administrative Secretary.
- All other related duties as assigned.
JOB REQUIREMENTS: Associate’s Degree in Finance, Accounting or related field, or equivalent combination of training and experience.
Requires any combination of education in finance, accounting or related field, or equivalent combination of training and experience.. Associates degree preferred.
Demonstrates good communication and human relation skills.
At least three years of experience as a secretary in an educational institution or office setting (for external candidates only).
Proficiency in Microsoft office software (Excel, Word and PowerPoint).
Proficiency in Munis or other financial management software, preferred.
Knowledge of federal program requirements pertaining to Title I, II, and IVa.
