Nature and Scope of Job
Work involves assisting the office of curriculum, instruction and assessment in organization and communication of professional development to support district initiatives, as well as general clerical work. To organize, coordinate, and perform clerical duties to effectively meet the needs of the CTE Department. To perform basic bookkeeping duties and coordinate all facets of the day-to-day activities in the CTE program while promoting an atmosphere conducive to the effective operation of the department and ensuring optimal services are made available to all district personnel and the general public in a courteous and professional manner. Work involves utilizing data warehousing applications, word processing and spreadsheet programs to develop and maintain records of student attendance, grades, demographic statistics, achievement, etc. and preparing associated reports. Employee is responsible for reviewing forms and entering data into proper computer files, updating files on a daily basis; and printing reports.
Job Functions
Essential Functions
1. Assists the Office of Curriculum, Instruction and Assessment in data management, testing, data
entry, generation of reports, and preparation of materials, and communication to support district
initiatives.
2. Uses positive communication skills when working with district personnel, students,
parents/guardians,vendors, and general public:
A. Demonstrates professional telephone/email communication skills

3. Possesses knowledge of and is responsible for record-keeping and accounting skills:
A. Supports the compliance requirements of Career & Technical Education (CTE) grants.
B. Coordinates and updates information in PowerSchool.
C. Maintains program documentation.
D. Assists in the preparation of Federal, State, and District reports.
E. Maintains confidentiality of all information
F. Collects and compiles district data for the CTE grants.
G. Maintains accurate inventory of CTE equipment/supplies.
H. Assists staff with copying, preparation of materials, and equipment as needed.
I. Enters purchase orders for the CTE program.
J. Corresponds with vendors on errors and open purchase orders for timely receipt or credit.
K. Processes travel requests for CTE staff.
L. Assists in receiving, processing, and distributing new materials.
M. Assists in shelving new and returned materials.
4. Assists the Office of Curriculum, Instruction and Assessment in assisting with professional development to support district initiatives.
5. Prepares the Curriculum, Instruction and Assessement newsletter and district communication in alignment with the Chief Academic Officer’s direction.
6. Maintains confidentiality of all information concerning students, staff, or parent/guardian in any public setting and chooses the appropriate time, place, and supervisor to discuss problems.
7. Uses positive verbal and non-verbal communication and interaction skills when working with students, parents, and all district personnel at all times.
Other Functions
1. Helps prepare reports as needed.
2. Locates, researches, duplicates, copies, constructs, files, laminates, types, designs, colors, cuts, draws, glues, and organizes materials.
3. Enters data as needed into windows based applications.
4. Types correspondence to building administrators and faculty.
5. Intervenes with students, at the direction of the Chief Academic Officer, in crisis/emergency situations.
6. Seeks appropriate additional tasks when assigned work is completed.
7. Performs any other assigned duties.

Job Qualifications
Knowledge, Skills and Mental Ability
Basic knowledge of Macintosh and windows based computers.
Basic knowledge of Mac OS X and Windows XP Pro operating systems.
Basic knowledge of the internet and electronic mail.
Basic knowledge of MS Office Products.
Ability to enunciate clearly and communicate positively throughout the work day.

Education, License, Certification or Formal Training
High school education or equivalent.
