JOB TITLE: Administrative Assistant

SCHEDULE: 40 hours per week, Monday � Friday. Work hours may be determined by manager and employee.

REPORTS TO: Chief Operations Officer
POSITION SUMMARY:
Responsible for providing assistance to the Chief Operations Officer in the areas of maintenance, facilities, transportation, safety and security.
ESSENTIAL DUTIES AND RESPONSIBILITIES: - Perform administrative assistant duties such as greet visitors, type and distribute correspondence, file, maintain records, receive incoming calls, emails and faxes, open and distribute mail, route messages, maintain scheduling and calendars, assist in special projects, staff events and meetings.
- Composes and types a variety of correspondence including, memos, letters, reports, construction documents and other materials.
- Help facilitate custodial staff coverage and accounting procedures for snow removal, emergencies, etc.
- Maintain personnel records for custodial, maintenance, grounds employees
- Maintains Facility Use Contracts and Facility Use Requests, verification of required documentation for all facility use requests and assignment of work orders. Schedule custodians, grounds and maintenance for building use and special events, verify that contracts are approved and that proper insurance coverage is current and in place as required.
- Processes requests for facility usage, maintains district facility usage calendar and prepares rental billings.
- Process purchase orders and requests to pay for auxiliary services and capital reserve budgets.
- Assist with assignment of proxy card setup in security system
- Coordinate and organize monthly safety, security and IRT (Incident Response Team) meetings including but not limited to attendee communication, room reservations, set up, and meeting minutes/summaries.
- Maintain supply room and responsible for order supplies for custodial, grounds and maintenance.
- Prepares absence reports, collects and compiles time cards for auxiliary personnel.
- Serve as on-call driver to fill in for small vehicle driving routes when necessary.
- Performs other related duties as assigned or requested.

POSITION REQUIREMENTS:
Required - High School diploma or G.E.D.
- Three-Five years of office/administrative experience
- One-two years driving experience
- Familiar with Microsoft Suite
Preferred - Experience working in a school district
- Bilingual Spanish/English desirable
- Familiar with Microsoft Outlook

ESSENTIAL PHYSICAL REQUIREMENTS:
The usual and customary methods of performing the job's functions required the following physical demands: Some lifting 5 to 20 pounds, occasional lifting 20 to over 50 pounds, frequent bending, standing, reaching, walking, kneeling, and sitting.
ESSENTIAL ENVIRONMENTAL DEMANDS:
Noise; dirt and dust; odors and fumes; otherwise, clean and comfortable.
CLEARANCE:
Must clear online background check and FBI Fingerprint check through Colorado Bureau of Investigation.
SALARY:

The annual salary for this position will be determined by number of hours scheduled to work each day and number of days scheduled to work each year. The computed annual salary will be spread out in equal payments over 12 months. Sheridan School District employees are paid once a month on the 1st working day of the month that is not a weekend day or holiday.

Employees who are scheduled to work 30 or more hours per week are eligible to obtain district health benefits which include medical, dental, vision, life and disability insurance and supplemental benefits. Positions that qualify for health benefits also qualify for leave which could include vacation and daily leave to be determined by the position and number of days assigned. Sheridan School District No. 2 is a public employer and participates in the Colorado Public Employees' Retirement Association (PERA). All employees are required by state statute to contributte 11% pre-tax salary. The District will contribute 21%.
