JOB SUMMARY
Eastside Catholic is seeking a Registrar to manage student records, scheduling and academic data to ensure the smooth functioning of the school. The ideal candidate will have strong organizational skills, keen attention to detail and the ability to meet fixed deadlines with consistency and accuracy. This is a year-round position that reports to the principals.
Specific Responsibilities
Student Records
· Maintain, update and distribute all student records including incoming and outgoing students
· Generate reports related to student records and academic data, including standardized test scores
· Manage the student information system (Rediker) to ensure accurate and up-to-date student and family records
· Manage academic documents, including transcripts and progress reports
· Create, proof and upload official transcripts into SCOIR for the College Counseling Office
Course Registration and Scheduling
· Develop and oversee the student course registration process
· Determine, finalize and distribute student and faculty schedules
· Support new students and families with the registration process
· Coordinate and organize all activities related to the creation of the master schedule in partnership with the principals
· Manage course changes, track dropped courses and share updates with the relevant personnel
Academic Record Archives
· Maintain archives of student academic records, including report cards and transcripts
· Manage transcript requests from former students and alumni
· Provide education verification upon request
Grading and Reporting
· Facilitates the collection and distribution of grades and comments each quarter
· Track student progress toward graduation in partnership with school counselors
· Calculate grade point average and create student honor roll lists
· Coordinate follow-up steps for incomplete or failing grades (e.g., summer credit recovery), in collaboration with school counselors
· Process grades, communicate grading policies, feedback protocols and deadlines to faculty
Additional Responsibilities
· Ensure accuracy and integrity of student data; develop workflows to maintain high quality data
· Import student information into systems such as Destiny Library, x2VOL (volunteer tracking system) and SCOIR (college counseling)
· Collaborate with the Director of Admissions and Director of Curriculum and Instruction to track re-enrollment
· Evaluate incoming student transcripts and ensure completeness and accuracy
· Partner with school counselors to assist families with academic programming and graduation pathways
· Respond to parent requests for official forms and student information
· Perform key portal tasks, including class rollover and new class setup
· Maintain the student resume of awards and recognitions in Rediker
· Efficiently process student withdrawals
· Support other school departments and perform additional duties as assigned
Requirements
· Proficiency in Microsoft Office, especially Excel and OneNote; ability to manage data file transfers · Experience with Rediker (school administration software) is desirable
· Ability to create and manage a master academic schedule
· Strong organizational skills with ability to manage multiple tasks
· Commitment to data accuracy, professionalism and confidentiality
· Strong problem-solving skills with a keen attention to detail
· Excellent interpersonal, written and verbal communication skills
· Ability to work collaboratively with students, parents, faculty and staff

· Ability to work independently and as part of a team
· Flexibility to occasionally work outside of regular hours to support school events including before and after-school or weekend events
Education and experience
· Bachelor’s degree or equivalent relevant experience
· Minimum of 2-3 years in a similar role, preferably in an educational setting
Salary Description
$65,000-$82,750 annually Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, degrees, and certifications.
