TITLE: WIHI & WIMA Administrative Assistant
SUMMARY:
The role of the Administrative Assistant is to manage the front office duties in support of the school community including students, families, counselors, school social worker, teachers, teacher consultants, and administrators. Priorities include:
Building positive relationships and communication with students, staff, and families
Managing student pick up/sign out process
Coordinate attendance records and preparations for count day
Bi-weekly attendance, tardy, and academic reports
Parking passes, lockers, student shadowing visits
Admissions questions
Coordinate principal schedules
Supporting the health and emergency team
Other duties as assigned by the Principal
PREFERRED QUALIFICATIONS:
Associate’s or Bachelor's Degree preferred, but not required
Ability to develop positive and responsive relationships with students, staff, and families
Strong organizational and communication skills
Demonstrated skills in Google Drive, PowerSchool, and other software applications
Demonstrated ability to multitask in a time-sensitive, fast-paced, dynamic school environment
Ability to maintain confidentiality is required
REPORTS TO: The Principal and Associate Principal
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Answer phone calls, emails, in person inquiries about the school admission, attendance, and other policies and practices
Manage front office inquiries and needs of students, staff, and families
Coordinate attendance and school-wide communication
Manage communication with students, staff, and parents, including responding to parent/guardian questions
Manage organization within the main office: scan, fax, file, distribute and mail confidential student documents, including accommodation plans and transcripts.
Assist students and staff with schedules, PowerSchool letters, manage appointments for the administrative team
Develop positive and friendly rapport and communicate effectively with students, staff, parents, district leaders, and community members
Support the management of attendance records
Prepare conference rooms and necessary materials for administration interviews and meetings
Prepare letters, memoranda, reports, bulletins, handbooks, questionnaires, and other materials as needed by the administration team
Assist with planning for events including: Student-led conferences, open house, etc.
Assist with all emergency drills and serve on the emergency crisis team
Any other duties delegated by the Principal
TERMS OF EMPLOYMENT:
Salary and benefits to be negotiated based on experience and skills. 215 work days, 40 hours per week, 7:30 am - 3:30 pm daily.
SALARY: $35,000 - $43,000 based on experience
Work days: 215 (School calendar with winter, spring, and summer breaks off)
