Position: Executive Secretary to Assistant Superintendent
School: Stillman Central Office Building
Reports To: Assistant Superintendent
Start Date: Approximately May 1, 2025
Work Year: 12 months
Hours: 35 hours a week/7 hours/day (excluding unpaid lunch), 8:00 am -4:00 pm
Compensation: $32.11 to $39.51 per hour (based on experience & qualifications)

Summary: The Curriculum and IT Team is seeking a motivated and dedicated professional to serve as an Administrative Executive Secretary to to the Assistant Superintendent of Curriculum & Instruction. This position is vital to our district as they oversee new projects and manage many existing district level projects and serve as a back up to the Superintendent’s Secretary.
Duties and Responsibilities:
Must be able to show demonstrated experience and/or applicable knowledge in the majority of these areas:
Works and communicates effectively with board members, administrators, town officials, staff at all levels, parents and the public;
Welcomes visitors and responds to incoming communications such as phone calls, mail, and emails exceptional customer service;
Compiles agendas and supporting materials for meetings;
Prepares and edits correspondence, reports, presentations, social media posts, and other documents for the district;
Organizes and maintains records, files and documentations;
Manages executive office work according to the needs of the Assistant Superintendent, Curriculum Administrators, IT Administrators, and the School District;
Support District-wide initiatives and projects as directed by the Assistant Superintendent, including managing timelines, communication, and logistical details, including, but not limited to:
Support the coordination, planning and execution of various district events/activities, maintain district calendar of events, and complete facility usage form
Communicates details with different stakeholder groups
Manage multiple calendars and prioritize scheduling conflicts
Files and processes information, as necessary
Provides project management for various district events/student assessments such as, but not limited to:
New Teacher Orientation
District Professional Development Activities
Conference Requests
Staff Recognition Programs
Interviewing/Hiring of New Employees
Assists with State Reporting
Summer Curriculum Writing
Kindergarten Registration
District Summer Reading
Educator Evaluation Data Base
Publish District Newsletter
Homeschool Requests
Requisition Entry & Budget
Enter requisitions for Curriculum and IT departments into Munis
Review and process all authorized invoices
Maintain appropriate filing systems for all invoices
Provide excellent customer service to staff and vendors
Track budget expenses in each line item in Excel and work collaboratively with administration to prepare for new fiscal year budget
Collaborate with the Business Office to ensure accurate records and reconciliations
Time and Attendance

Perform general administrative duties as required
Maintains secure and confidential records.
Maintains confidentiality on all matters, especially those related to district policies, personnel, and sensitive information.
Other duties as assigned by Assistant Superintendent or Superintendent
Qualifications:
Must possess a minimum of an Associates’ Degree or equivalent experience in a similar role (Bachelor’s degree is preferred);
Must possess a minimum of five (5) years’ experience working as an administrative secretary in a highly dynamic office environment;
Must possess strong collaboration and communication skills and the ability to interact effectively with a broad spectrum of district employees, Board of Education, and community members;
Must possess strong analytical and reporting skills; comfortable working with and manipulating data;
Must be highly organized; able to create and maintain organizational systems to support efficient communication and tracking of numerous annual subscriptions and purchases.
Knowledge of PowerSchool and Munis would be beneficial;
Strong proficiency in the use of Microsoft Office and Google Suite applications;
Strong working knowledge of Excel and/or Google Sheets;
Ability to learn other cloud-based software applications easily;
Must possess a strong work ethic and ability to drive assignments to completion and the ability to handle and treat information confidentially;
Excellent oral communication and interpersonal skills; ability to communicate clearly and concisely both in oral and written form;
Ability to multitask and adapt to rapidly changing priorities;
Ability to work cooperatively with other office personnel;
Ability to relate effectively with staff, parents, students and the public;
Ability to plan and organize work schedules and set priorities, both independently and under general supervision.
