    THIS JOB DESCRIPTION IS A GUIDELINE AND IS NOT INCLUSIVE OF ALL DUTIES AND RESPONSIBILITIES
               
    Qualifications:
    • Bilingual (highly preferred)
    • Bachelor’s Degree (preferred)/High School Diploma (required)
     
    • Minimum two (2) years of experience as an Executive Assistant in Education (highly preferred), but will consider other administrative experiences
     
    • Any combination of education and experience equivalent
     
    • Demonstrates skill in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Google Suite)
     
    • Knowledge of School Board functions and procedures, IWAS, SIS, and Skyward Database (highly preferred)
     
    • Such alternatives as the Board of Education may find appropriate and acceptable.
       
    Reports To: Superintendent and Supports the Board of Education and Director of Finance and Operations
       
    Location: District Office
       
    Terms of Employment: 12-month position – Full-time - Salary to be determined by the Board
    ($55,000 to $65,000, per year commensurate with experience)
       
    Job Goal: To provide highly confidential assistance to the Members of the Board of Education, Superintendent, and Director of Finance and Operations
       
      Board of Education:
    Duties and
    Responsibilities:
    • Complies and disseminates motions, agendas, postings, and minutes for all Board of Education Meeting
    • Prepares and distributes all materials to members of the Board of Education and administrative staff prior to each meeting of the Board.
    • Attend all board meetings and take accurate minutes
     
    • Arranges all Board activities including room arrangements, refreshments, conferences and retreats
     
    • Assist in maintaining the Board Policy Manual
     
    • Prepares Committee of the Whole and Board Meeting packets
    • Prepares all reports, letters and other correspondence for members of the Board of Education.
    • Registers the Board and Superintendent for conferences and workshops
    • Assists the Secretary of the Board of Education in conducting school board elections as well as filling a vacancy due to the resignation of a member.
     
    • Preserves the confidentiality of all information related to Board business
     
    • Perform such other duties and assume such other responsibilities as may be assigned by the Board of Education.
       
      Superintendent’s Office:
     
    • Answers and responds to telephone calls from administrators, staff, parents and community members
    • Receives sorts and distributes all incoming correspondence in order of importance. Highlights key critical deadlines. The exception to this expectation would be items marked confidential and documents sent to the district by the attorney or insurance company
       
     
    • Opens district mail and distributes to appropriate places in a timely manner.
    • Schedules appointments and maintains the Superintendents calendar
     
    • Types, e-mails, edits, distributes and files as requested the Superintendent’s correspondence and communications;
     
    • Distributes agendas and materials for all meetings under the responsibility of the Superintendent
     
    • Organizes and maintains an accurate filing system to include confidential files
     
    • Processes bills for Superintendent’s and District Office expenses
     
    • Preserves the confidentiality of all information related to the Superintendent’s and District Office as well as that of all students, parents and staff
     
    • Works in partnership with other departments to complete tasks relevant to the operations essential to service our students, faculty and staff
    • Works collaboratively with staff to prepare compliance documents for the purpose of ensuring completion of all probes for compliance visits
    • Organize and ensure proper functionality of the overall district office.
    • Maintains district supplies and complete purchase order requests etc.
     
    • Perform such other duties and assume such other responsibilities as may be assigned by the Superintendent.
     
      Human Resources/Payroll:
    •  Ensures that all personnel files are complete with required documents.  
    •  Assist with the preparation of certified employee contracts.
    •  Assist the Director of Finance with Human Resources and payroll functionsneeded to ensure segregation of duties
    • Assists the Director of Finance with Human Resources (handles new hire paperwork and ensures all required documents are completed in a timely manner
    • Assists the Director of Finance with Accounts Payable (ensures that packing slips, purchase orders and invoices are attached for payment)
    • Supports the Director of Finance and Operations with identified projects.
    • Assist with Benefits Open Enrollment
    • Supports the flow of maintenance, district repairs, and building management.
       
                
    Essential Functions:
    • Must be able to type 40 words per minute with accuracy
    • Ability to work independently and multi-task in an unsupervised environment
     
    • Ability to speak and write in a clear and concise manner
     
    • Ability to comprehend and disseminate data/material/resources as presented
     
    • Ability to organize and maintain an accurate filing system
     
    • Ability to meet daily attendance requirements.
       
    Evaluation:
    • Performance of this position will be evaluated by the Superintendent
