This position is Building Secretary, 8 hours a day, 5 days a week, & 200 days per year. $16.00/hr with benefits.

Position Objective:
The Building Secretary provides assistance in the daily operations of the school by supporting the work of the principal and serving as a point of contact for students, staff, and the public.
 
Essential Functions:
- Greets all visitors with courtesy, making sure that security procedures are consistently followed
- Answers the telephone in a professional courteous manner
- Communicates effectively with teachers, staff, parents, and community members
- Keeps the principal informed of all important calls, visitors, messages and other events pertaining to the function of our school
- Tracks daily, monthly, yearly attendance through PowerSchool
- Assists with employee absence creation and substitute placements through AESOP program
- Creates reports as specified by the building principal
- Manages the master building calendar
- Ensures needed supplies are available and office equipment is in working order
- Maintains and updates all student records as required
- Manages student registration process
- Maintains strict confidentiality of all office, school, and personnel information
- Handles all minor accidents and illnesses that come to the office in an efficient and professional manner in accordance with school policies
- Dispenses medication to students in accordance with school policies
- Presents a positive image to the office and the building as a whole
- Assists with approval and management of time clocks
- Provides time clock assistance to staff
- Assists with management of student activities accounts by placing orders, tracking the receipt of orders placed, and utilizing the purchase order system
- Completes all state reports (SIS, IEP, ELL, etc.)

Qualifications:  
- High School Diploma or GED
  
Competencies:
- Excellent organizational skills with strong attention to detail
- Proficient in typing, filing, copying and other clerical functions
- Proficient in standard office software applications, including Microsoft Word, internet usage, email usage, Microsoft Excel
- Excellent interpersonal communication skills.  Able to communicate effectively with staff at all levels, students, parents, and the general public
- Ability to interact with children in a positive and nurturing manner
- Ability to multi-task while maintaining a calm and professional demeanor
- Ability to read, write and speak the English language
- Ability to assess and anticipate clerical tasks needed
- Understanding of school, district, and state rules and regulations regarding school operations

This position is Administrative Assistant to the Athletic Director, full-time & 12 months of year year. $16.00/hr with benefits and paid time off.

Position Objective
The Athletic Director’s Administrative Assistant provides assistance in the implementation and coordination of District athletics and activities to help ensure high quality programs.
 
Essential Functions:
• Types all rosters and athletic schedules (including all tournaments)
• Types all correspondence regarding tournament schedules, directions, memos to coaches, code letters, etc
• Prepares money and ticket sales for games
• Writes checks for all athletic events (officials, bench officials, security, ticket sellers, etc.)
• Handles athletic accounts and pays bills for activity accounts
• Types all IHSA correspondence
• Handles all post-season ticket sales and reports
• Types athletic eligibility
• Types and distributes all information to coaches from the Athletic Director
• Types bus schedules for athletic contests
• Assists in scheduling officials and umpires
• Answers incoming calls and assists with official and scheduling questions
• Assists in writing contracts
• Assists in picking up trophies and other tournament supplies
• Assists in fall, winter and spring mailings
• Assists with athletic payroll of employees
• Assists with athletic department purchase orders and accounts
• Helps with Awards Night preparation
• Schedules ticket takers and other game workers
• Letter senior plaques and helps with ordering supplies as needed

Position Objective:
The Transportation Secretary assists with the daily operations of the Transportation Department supporting the work of the Transportation Director. This position is the point of contact for building principals, secretaries, transportation employees, parents, and any others requiring assistance with transportation services. 
 
Essential Functions:
• Process and maintain organized files of monthly invoices, purchase requisitions, and purchase orders from vendors. Communicate with Accounts Payable regarding these forms.
• Communicate with secretaries of schools and Athletic Director concerning extracurricular trip information.
• Daily management of field trip operations including scheduling, selection of trips, and trip changes
• Notifying schools when there are changes in buses.
• Coordination with mechanics on fleet readiness, buses to be used for extracurricular events, and GPS units.
• Use Versa-Trans Routing Software programs: Trip Tracker, Routing & Planning, MyStop, OnScreen, and GeoTab.
• Any secretarial or clerical duties requested by the Director of Transportation
• Assist with State Transportation Reports
• Maintain and update vendor phone number and contact list
• Assist Director of Transportation to maintain all School Bus Driver Certifications;( driver’s license, school bus permits, and physicals)
• Maintain and manage bulk supply inventory
• Assist families with transportation questions
• Answers incoming phone calls and any walk-ins
• Assist delivery staff with where they can deliver school supplies
• Time clock adjustments for drivers and monitors
• Fill in for the Transportation Director when needed.
• Ability to work with limited direct supervision

• Associate’s Degree or higher (preferred)
• Previous experience in clerical or office setting (preferred)
