Key Responsibilities Administrative Support: Manage superintendent's calendar, meetings, and local travel arrangements Drafting and editing correspondence, emails, reports, and presentations Maintaining and organizing confidential records and personnel files, both physical and digital Coordinate with business department on invoices and payments Filing and maintaining records of office correspondence, documents, reports, and other materials Respond to stakeholder inquiries and manage phone communications Handle homeschooling documents/records/working papers/state requirements Handle ACES paperwork, including verifying residency. Conduct residency investigations as needed Respond to FOIA requests promptly Coordinate student Board of Education recognitions with school principals Prepare and schedule expulsion and residency hearings Manage conference room bookings via Town and school calendars Board of Education Support Prepare and distribute agendas, minutes, and other meeting materials Post Agenda & Meetings in a timely manner, and send all communications to the Town ensuring timely and accurate dissemination of information to the district, general public, and outside organizations Meet all agenda deadlines for agenda items bi-monthly including: special Board of Education meetings Organizing, scheduling, and following Robert’s Rules for all Board Business Organizing and keeping the Board website and policy repository up to date Posting of State level notifications onto the main website in accordance with mandates/legislation Event planning and setup for all Board meetings, workshops, retreats, and or board related events Board clerk for all Board related and disciplinary hearings. Completion of transcription services and archiving of documents Communicate with the Town Clerk/Secretary, Town Personnel when necessary Project manager of bi-weekly board binders and distribution of materials to any and all related committees Coordinate press releases and media communications Communication and Project Management: Act as primary contact for superintendent's office Facilitate communication among staff, parents, and community Project Management: Assist in planning and coordinating district events Support development and implementation of district initiatives Track project progress and ensure deadline compliance Additional Responsibilities: Maintaining a thorough knowledge of district policies and procedures Perform any and all duties as assigned by the Superintendent Maintain comprehensive confidential files and records for district, Board, and Superintendent, including personnel records, medical records and historical documents. Yearly Requirements Schedule Board of Education meeting dates Coordinate Parent Teacher Organization (PTO) Budget Meetings Manage Wall of Honor process (applications, committee meetings, announcements, reception) Oversee Teacher of the Year nominations and recognition Coordinate Para of the Year selection and announcement Organize yearly recognition for Nurses and Parent Teacher Organization (PTO) Prepare for and set up Convocation, including catering Arrange Service Awards for Years of Service (order plaques) Acknowledge Retirees with 20+ years of service Schedule Safety and Security Meetings Update annual Snow Letter Schedule Administrative Council meeting dates Coordinate Principal Reviews Collaborate on School Calendar creation with Director of Curriculum Prepare Board of Education and Administrative Retreat documents Assist with Graduation preparations (coordinate with High School & Middle School secretaries, arrange Board member gowns, send invitations) Update Tuition Rates Manage yearly student recognitions (CABE, CAPSS, Top Ten, Military, Invention Convention Awards, etc.) Prepare non-affiliated contracts |
