    ADMIN ASSISTANT / PAYROLL SPECIALIST

     

    Maine School Administrative District 33 (MSAD33) has an opening for an Administrative Assistant / Payroll Specialist (Updated: 40 hours per week).  The successful candidate will be responsible for completing payroll duties for MSAD33 and Administrative Assistant duties in MSAD33’s Central Office, located in the St. John Valley Technology Center in Frenchville, ME.

     

    MSAD33 consists of Dr. Levesque Elementary School and Wisdom Middle/High School, and the St. John Valley Technology Center.  Overall MSAD33 employs an average of 70 employees.

     

    Reports to:  The Valley Unified Education Service Center (VUESC) Director of Finance and Projects

     

    Duties and Responsibilities will include but not limited to:

     
    1. Maintains all aspects of the School District payroll functions.  Payroll is prepared on a bi-weekly basis.

    2. Prepares payroll warrant for signature by the Superintendent and School Board members.

    3. Prepares payrolls, including deductions for withholding tax, pension, social security, life insurance, health insurance, disability insurance, Chapter 403(b) and Chapter 125 plans, and such other salary deductions.

    4. Prepares and maintains all necessary earning records, deduction records, and similar personnel payment records.

    5. Prepares or assists with monthly retirement reports, quarterly Federal & State tax reports, federal withholding tax, state withholding tax, FICA, Medicare report on Form 941 and other payroll related reports.            

    6. Answers phone when office secretaries are not available.

    7. Submit claims for reimbursement or refunds and invoices third parties for services or goods on a regular basis. 

    8. Works with other Central Office personnel to prepare financial and other budget reports at regular intervals.

    9. Cooperates with the auditors and provides information to them as requested. 

    10. Maintains a cooperative relationship and open communications with those holding similar positions in other districts in the region and the state.

    11. Any other duties as may be assigned by the Superintendent or Director of Finance.

     

     Qualifications: Minimum of an Associate’s degree in Business or Office Administration in addition to 3-5 years of related payroll and administrative experience preferred.
