Clerical Administrative Assistant - Long Term Substitute
Location: Community Education Center
Schedule: 7:00 AM - 3:30 PM, School Year Position
Pay Rate: $19.00 per hour
POSITION OVERVIEW:
The Office Administrative Assistant provides essential administrative and operational support to ensure smooth daily functioning of the Community Education Center’s front office while creating a welcoming environment for students, staff, and visitors.
PRIMARY RESPONSIBILITIES:
Daily Operations:
• Manage front office operations from 7:00 AM - 3:30 PM
• Open building front door at 7:20 AM
• Monitor and respond to phone messages and emails
• Maintain accurate daily attendance records
• Participate in morning staff meetings and adapt daily tasks based on building needs
• Operate secure entry system
• Manage student device check-in/check-out system
• Assist outside agencies in locating students
• Provide professional phone and in-person communication
Substitute Teacher Management:
• Process and approve teacher absence requests
• Prepare substitute teacher materials including:
- Class rosters
- Building orientation and tours
- Technology access and equipment
- Classroom keys and security items
Student Enrollment Coordination:
• Schedule and coordinate enrollment meetings
• Process new student enrollment in Campus system including:
- Data entry and record management
- Schedule creation
- Technology account setup
- Transportation coordination
- Food service setup
• Prepare materials for student first day:
- Print schedules
- Provide computer access credentials
- Issue lunch account information
- Coordinate device distribution
QUALIFICATIONS:
• High school diploma or equivalent required
• Previous office experience preferred
• Strong organizational and multitasking abilities
• Excellent interpersonal and communication skills
• Proficiency in Microsoft Office and student information systems
• Ability to maintain confidentiality and professional boundaries
• Experience working in educational settings preferred
