    JOB GOAL: 

     

    To assure the smooth and efficient operation of the Special Services Department.

     

    QUALIFICATIONS:

     
    • High School Diploma or equivalent

    • Proficient in the use of Microsoft Office, and other school related database systems

    • Prior secretarial experience and knowledge of the school student management system preferred

    • Ability to work cooperatively with parents, students, staff and the general public

    • Strong interpersonal communication skills

    • Strong organizational skills

    • Willingness to work as a team player, to take direction and follow through on assignments in a timely manner

    • Must obtain an Arizona IVP Fingerprint Clearance Card

     

    TERM OF EMPLOYMENT:  261 Days; 12 Months

     

    COMPENSATION:  Per QCUSD salary schedule for applicable position

     

    BENEFITS:  As per QCUSD District policy

     

    REPORTS TO:  Director of Special Education

     

    HOURS:  40 hours per week - Monday-Friday

    CLASSIFICATION:  Hourly, Non-exempt 
     
     
     

    PERFORMANCE RESPONSIBILITIES:

     

     Responsibilities shall include, but not be limited to, the following:

     
    1. Greet all visitors courteously, determine their needs, check appointments, and direct or escort them to the proper person.

    2. Answer office telephone and respond appropriately to requests for information.

    3. Perform a variety of secretarial duties including: word processing, data entry, filing, record keeping.

    4. Maintain student IEPs and student information through the District student database for the purpose of creating a variety of accurate District and state reports.

    5. Maintain appointment calendar for the Director.

    6. Communicate confidential information between psychologists, teachers, parents, the transportation department and the Director. Discretion is required in deciding what to communicate, how to communicate and in controlling the access and distribution of confidential information as mandated by state and federal policy.

    7. Establish and maintain effective relationships with others, exchanging information in situations tactfully, courteously, and concisely.

    8. Process purchase order requests using the internal Purchase Order software. Maintain appropriate paper trail for all orders as well as maintain multiple account balances.

    9. Assist with maintaining accuracy of DSC related billing records by data error checking and cross-referencing documents.

    10. Prepare a variety of reports and charts for the Director as well as end of year check out procedures for staff.

    11. Perform other duties as assigned by the Director and/or Designee.

    12. Maintain Grant payout accounts, and organize paperwork associated with grant monies.

    13. Maintenance and accuracy of all special education databases using several electronic platforms.

    14. Ability to learn, maintain and manage a variety of electronic systems, including, but not limited to: finance programs; including requisitions and purchase orders, electronic personnel action requests, student management databases, hiring databases, etc.

    15. Maintain registration and attendance for all tuition out students.

    16. Maintain all homebound students and teacher visits.

    17. Prepare payroll reports for Special Education Department.
