ADMINISTRATIVE ASSISTANT TO DIRECTOR
CURRICULUM & INSTRUCTION
Brief Description:
The Board of Education of Middlesex County Magnet Schools is currently accepting applications to fill the position of Administrative Assistant to Director for the 2024-2025 school year.
General Responsibilities:
The administrative assistant is responsible for overseeing key administrative, financial, curriculum, and technology-related functions within the Curriculum and Instruction Department. Responsibilities include managing purchasing, budgeting, record-keeping, grant administration, compliance reporting, and district testing. Additionally, this position supports curriculum initiatives, maintains educational technology platforms, and assists with onboarding new staff.
The ideal candidate will have strong organizational skills, attention to detail, and experience working with district systems and compliance requirements. They must also be able to manage multiple projects simultaneously and possess exceptional technology skills to effectively utilize various educational and administrative platforms.
Compliance & Reporting
- District Testing and Assessment: Assist with district testing such as Access for ELLs, STAMP, and district placement testing.
- Professional Development Support: Track staff attendance records and documentation for professional learning.
Curriculum and Instruction Departmental Support
- C&I Department Administration: Manage weekly highlights, district timelines, departmental calendar, and administrative reporting.
- Staff Support: Provide administrative support for curriculum and instruction initiatives and events.
District Curriculum Management
- Chalk Platform Management: Update and maintain the district curriculum within the Chalk platform to ensure accuracy and alignment with curriculum updates and state requirements.
- Course Catalog Oversight: Update and maintain the district’s course catalog.
Data & Record Management
- Board Compliance: Ensure proper documentation and approvals for board reports and compliance requirements.
- Grant Record-Keeping: Maintain and manage grant worksheets, requisitions, and time sheets.
- Payroll & Mileage Tracking: Process payroll, district timelines, and mileage reimbursements.
Financial & Purchasing Oversight
- Budget Management: Oversee district budgeting processes using Systems 3000 accounting platform.
- Requisition Processing: Input and track requisitions for district purchases.
- Vendor Procurement and Management: Secure competitive quotes, manage vendor relationships, ensure contract compliance, and maintain accurate records.
- Subscription Management: Maintain district subscriptions for textbooks, software, and other instructional resources.
New Staff Onboarding
- Technology Setup for New Staff: Serve as the account manager for district educational technology platforms.
- Onboarding Support: Ensure new staff have appropriate technology access.
Technology & Systems Administration
- EdTech Platform Management: Oversee Google Workspace for Education, Genesis, Chalk, and other educational technology platforms
- Technology Account Management: Administer accounts and provide technology access support for district staff.
Summer & Special Program Coordination
- Payroll Processing: Oversee payroll and financial tasks for summer programs.
- Board Approval Management: Ensure compliance with board approvals for summer and special programs.
- Summer Orientation Support: Assist with planning and facilitating summer orientation for district new staff.
Qualifications:
Experience in education administration, finance, curriculum management, or related fields.
Advanced proficiency in Google Workspace, including data management, data analysis, automation, and system administration.
Proficient in Genesis, Chalk, and other educational technology platforms.
Strong aptitude for troubleshooting technical issues and quickly learning new software and platforms.
Strong organizational, communication, and interpersonal skills.
Knowledge of district policies, compliance requirements, and financial processes.
