    Job Description
    Position:  Special Education Records File Clerk
    Supervisor:  Director of Special Education
     
    General Job Description:  To assist administrator and staff with any needs.  To maintain student files.
    Essential Duties and Responsibilities - Essential duties may include, but are not limited to the following:
    1. Schedule special education meetings and testing sessions as directed by special education coordinators.
    2. Send notifications to parents, coordinators, contracted and local providers, and school staff as relevant.
    3. Maintain accurate electronic records via post-meeting review checklists.
    4. Periodically monitor reports of meeting deadlines to support timely completion of meetings.
    5. Monitor enrollments and withdrawals of students with IEPs at assigned schools and ensure completion of proper intake and exit procedures.
    6. Process disability information received from outside agencies, and make appropriate notifications when records are available electronically.
    7. Support timely and accurate state reporting in observance of federal, state and local deadlines.
    8. Respond to records requests from parents and outside educational agencies, in observance of federal, state and local guidance.
    9. Attend required trainings.
    10. Learn and correctly practice special education processes and procedures.
    11. Work cooperatively with colleagues, supervisors, and administrators.
    12. Demonstrate ethical behavior.
    13. Respond to administrative requests in a timely manner.
    14. Practice proactive communication.
    15. Observe and maintain confidentiality.
    16. Follow district policies and administrative rules and regulations.
    17. Maintain a professional attitude and appearance.
    18. Communicate effectively via phone, email and in-person interactions.
    19. Observe district rules regarding length of work day, leave requests, and protocol for visiting school sites.
    20. Complete other tasks as deemed appropriate by the immediate supervisor and/or the superintendent.
    Additional Duties and Responsibilities:
    • Handle and maintain the records of student in a confidential manner
    • Understand and respect cultural diversity and Native American traditional beliefs and
    practices, of students and their families.
    • Communicate clearly and concisely, both orally and in writing.
    • Establish and maintain effective working relationships with those contacted in the course of work.
    • Complete Safe Schools training as directed by the district.
    • Complete other tasks as deemed appropriate by the immediate supervisor and/or the superintendent.
    Qualifications:
    1. High School Diploma or GED equivalency. Post-secondary studies in bookkeeping, accounting, secretarial and computer technology preferred.
    2. Demonstrated secretarial skills.
    3. Demonstrated skills with office machines and equipment.
    4. Knowledge of and proficiency with computer management. 
    Physical Requirements: Ability to perform the job and access the environment for which you are hired.  The following may be required: Sitting, standing, lifting, moving about the room or school, carrying (up to 50 pounds), reaching, squatting, kneeling, prolonged typing, physical ability to type on a keyboard terminal, and moving light furniture.
    Equipment/Technology Handled: Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.
    Work Environment: Must be able to work within various degrees of noise, temperature, and air quality.  Interruptions of work are routine.  Flexibility and patience are required.  Must be self-motivated and able to complete job assignment without direct supervision.  After hour work may be required.
    Terms of Employment: Salary and work calendar established yearly by the district.
