    Position Overview:
    Summit Educational Service Center is seeking a highly organized Curriculum and Instruction Department Administrative Assistant to support the Curriculum and Instruction department. This role is essential in managing communications, tracking department activities, assisting with financial oversight, and ensuring the smooth operation of professional development events and services.

    Primary Responsibilities:

    Communication & Coordination
    Respond to district emails in a timely manner and direct inquiries to appropriate team members.
    Communicate updates and changes to registrants for C&I events.
    Serve as a liaison between the C&I department and other departments, including Finance, HR, SST8, and Student Services.
     Knowledge of online platforms such as Canva to create department flyers and newsletters. 

    Scheduling & Event Support
    Maintain calendars and track days for consultants, providing timely updates to the fiscal department.
    Track district requests, prepare budgets, and send proposals for C&I work.
    Enter and adjust all C&I events on the Summit ESC website while monitoring registrations.
    Set up and clean up rooms for all department events, both onsite and offsite.
    Provide photocopies and prepare materials for C&I consultants ahead of PD sessions.
    Create and distribute certificates for all C&I events to participants.

    Data & Financial Tracking
    Track work completion on ESC time/contract/service spreadsheets.
    Maintain budgets and financial records for online coursework offered through Canvas or Ohio Learning Community.
    Assist with grant tracking, ensuring proper allocation of workdays and resources.
    Maintain an organized filing system for both digital and physical documents.

    Additional Responsibilities

    Project Management Support
    Assist with coordinating departmental projects, ensuring deadlines and deliverables are met.
    Act as a liaison between project teams and leadership, preparing reports and status updates.

    Enhanced Financial Oversight
    Assist in forecasting department expenses and identifying cost-saving opportunities.
    Support financial reconciliation and reporting for projects or grants.
    Oversee the service plan tracker to ensure all consultants are accurately recording time for the 2025-2026 school year.

    Qualifications:
    High school diploma or equivalent required; associate or bachelor’s degree preferred.
    Experience in an administrative, executive assistant, or office management role.
    Strong organizational skills with keen attention to detail.
    Ability to manage multiple projects and deadlines efficiently.
    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
    Experience with event coordination and budget tracking is a plus.
    Excellent communication and problem-solving skills.
