SUMMARY: Responsible for the smooth and efficient operation of the K-8 administrative office.  Provide administrative assistance, through the use of district information technology systems, to the Principal, administrators, office and school staff and students by answering/screening phone calls, coordinating meetings and events, monitoring staff time and attendance, managing the school’s financial records and transactions, performing various personnel management functions, handling confidential information, receiving and responding to inquiries and requests, supervising office staff, managing crisis situations and preparing correspondence and other written communication.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  1. Responsible for the collection, activity, accounting and reporting of funds for all activities, fees and fines through use of district information technology systems.  Collect and count monies; prepare and make bank deposits; scan checks, create and submit reports to school and/or Financial Services.  Create and submit vouchers and reimbursements to Financial Services for transactions not covered by purchasing card or district financial system. Perform purchasing card requisitions, through use of district information technology systems, including placing orders for materials, supplies or equipment online or over the phone; receiving, inventorying; and directing incoming shipments; maintaining and organizing invoices and packing slips; and reconciling purchases online through district purchasing system by charging purchases to the appropriate accounts. Create and submit system reports and receipts/invoices to Financial Services. Register staff for conferences and other trainings. Through the use of district information technology systems, perform duties creating and monitoring the general fund, pupil activity fund, athletic fund, etc.; placing warehouse orders; purchasing unique items from vendors; creating reports; reconciling budgets; and notifying others of available funds.
2. Provide clerical support to K-8 Principal, administrators and school staff by answering phones, preparing, composing and/or formatting correspondence, documents, newsletters, handbooks, reports and programs; coordinating meetings and school activities including, but not limited to, coordinating meeting dates and appointments, electronically update shared meeting documents, creating monthly/yearly events calendar, ordering refreshments, creating and printing, programs, flyers, agendas, etc.; creating and maintaining filing systems; processing mail; screening face-to-face and telephone contacts; etc., providing information and/or direction to individuals regarding district policies and procedures, , monitoring students sent to the office, coordinating office duties and projects with other personnel as needed.  Lead, evaluate, coordinate, train and/or assist with the work of office support staff.  Duties include assigning tasks, coordinating coverage, overseeing activities and special projects.  Manages building key and access card issuance and tracking. Creates staff ID cards by uploading information, activating and deactivating all access cards as needed. Provide information and services to students, parents, guardians, staff, and the community as required or requested.  Receive and respond to inquiries and concerns regarding building, District, and state policies and procedures and make information available to others as needed, such as Board and District policies and procedures.    
3. Responsible for review, approval and verification of reported time in district time and labor system. May prepare and analyze time and labor reports and complete paperwork for payment of stipends and other pay.  Responsible for data input and report extractions, through use of district technology systems, including extra duty pay, absences and preparing payroll. Monitor the automated substitute management system to ensure substitute assignments and track daily absences. Responsible for obtaining in-house class coverage to ensure all classes are covered for the day.
4. Perform site personnel functions including recording and routing professional leave forms for certified staff; completing, submitting and coordinating workers’ compensation claims; maintaining yearly evaluation schedules and preparing evaluation packets; word processing Principal’s evaluations; creating and maintaining employee personnel files;; and providing input into classified employee evaluations. Coordinate and/or assist with the hiring process, personnel data and files through the use of district technology systems.  Organize and screen applications and prepare and submit final hiring information to Human Resources for approval.  Maintain and update all personnel changes, including FTE changes, resignations,  and terminations, leave of absences, transfers and retirements.  
5. Through use of district information technology systems, assist with the school budget process by preparing and distributing departmental budget request packets, collecting and totaling requests, determining balances available for operational costs, attending budget meetings, utilizing reports to determine and submit budget carryover balances and submitting final budget and account numbers to Financial Services.
6. Perform other job-related duties as assigned, which may include assisting students in the health clinic and provide backup coverage, as needed. 

EDUCATION AND RELATED WORK EXPERIENCE:
• High school diploma or equivalent.
• Must be a minimum of 18 years old.
• Minimum of four years of experience in clerical support positions.  Office management experience preferred.
• Experience working with K-8 students preferred.
 
LICENSES, REGISTRATIONS or CERTIFICATIONS:
• Criminal background check required for hire.
• CPR and First Aid certifications preferred.
• District RN Medication and Procedure Delegation and Health Aide training may be required.

SALARY INFORMATION: 
All Classified positions are paid on an hourly basis.  All Newly hired classified employees are placed initially on Step 1 of the pay grade for their position. Classified employees can advance an additional 7 steps (maximum Step 8) based on their previous experience.  Final hourly placement on the Classified Salary schedule is dependent on the Grade Level for the position being posted and employees’ previous work experience. “Grade” refers to position or job classification and “Step” refers to the number of work experience credit or service years. SUMMARY: Responsible for providing support to the elementary school office by maintaining, monitoring, and managing an accurate student database and student records/files; providing customer service and secretarial support; managing the daily student attendance process; and monitoring daily visitors to ensure a safe school environment.  Responsible for the administration, coordination, and communication of the student and course registration process and master schedule. Responsible for accurate student database information and related reports.

Job Tasks Descriptions
1.    Provide customer service and secretarial support in the front office.  Screen, route, and track (as requested) incoming calls; provide information to callers and visitors; take messages; retrieve voicemail messages; and make outgoing calls for administrators and other authorized personnel. Diffuse difficult situations.  Screen all visitors via the secure entry system, scan photo IDs, print visitor badges, and direct to appropriate party. May continually monitor security cameras for safety and security. Call students to the office for meetings/pick-up and assist/monitor students dropped off early for school and or not picked up after school. May accept, sign for, open, and distribute incoming mail, packages, and warehouse orders. Prepare outgoing mail, send, and receive district email and faxes. Communicate with the district and community groups to coordinate building activities and to update master calendar and usage. Maintain current and add new Student Authorization Pickups. May assist with students that are sent to the office with discipline office referrals. Enter and track all discipline referrals in Infinite Campus and maintain Behavior Management reports and database. Retrieve, compile, download, and provide data for reports, both internal and external, such as enrollment projections, student funding, transportation needs, enrollment counts, testing, October counts, Colorado Department of Education (CDE) report, etc. May create schoolwide newsletters and email messages. May maintain the school website by setting up the classroom pages and updating the homepage/school, be a backup for the time and labor process, and/or help with substitute coverage.  Provide back up to the health clinic. 
2.    Maintain, monitor, and manage an accurate student database and student records/files according to federal and state law and district policies and procedures by performing student registration, enrollment, withdrawal, and updates. Meet with new parents to explain school/district policies and procedures, gather new student information, and enter registration information into the District database. Coordinate online registration for new students and online check-in for returning students. Complete the enrollment process by obtaining required paperwork, such as out of district records, birth certificates, etc. Establish an appropriate schedule for the student and arrange for registration informational meeting if necessary. Create the initial student cumulative file that follows the student throughout their district education. Oversee the registration/intent process by creating, compiling, ordering, and distributing registration materials.  Organize conferences as needed. Withdraw students and mail student records and requests to appropriate locations, purge withdrawn flies, and send files to ESC.  Forward all 5th grade files to the next school enrolled.  Obtain and update personal information such as parent/guardian, address, phone numbers, emergency contacts, etc. Communicate with Legal Department to ensure student court orders are current in Infinite Campus. Maintain accurate class lists. May help with families with transportation.
3.    Manage the daily student attendance process by listening to messages on attendance line, contacting parents, entering absences and tardies into the system, verifying that teachers have taken period attendance, running attendance reports, logging attendance concerns in district database, and sending attendance letters to parents.  Schedule attendance meetings with Principal as needed.
4.    Build the master schedule by entering student courses and internal scheduling requests into the system, analyzing conflicts, performing schedule runs, and using tools within the student database software to develop a desired schedule.  Ensure that each student has a completed and accurate schedule for the new year. Make student schedule corrections and changes as appropriate.
5.    Oversee the processing and distribution of grade and progress reports, including ensuring teachers have properly entered all grades for their students, running report card Exceptions Report in Infinite Campus, requesting teacher corrections prior to printing, printing report cards or sending to Print Shop, and overseeing distribution.
6.    Coordinates, provides support for, and/or participates in student registration/progress events such as back to school nights, open houses, parent/teacher conferences, etc. Duties may include preparing materials, handouts, agendas, and newsletters; creating signs/posters; making room arrangements; and publicizing the event. Assist with check-in and coordination of field trip volunteers.
7.    Perform other job related duties as assigned. 

EDUCATION AND RELATED WORK EXPERIENCE:
-High school diploma or equivalent.
-Minimum of (3) years of computer and general office experience.
-Experience working with school-age children preferred.

LICENSES, REGISTRATIONS or CERTIFICATIONS:?
