Administrative Assistant to the Superintendent
REPORTS TO: Superintendent of Schools
QUALIFICATIONS DESIRED:
High school diploma or equivalent.
Valid State of Maine Department of Education Fingerprint certification.
Previous experience supporting executive leadership, preferably in a public school district.
Demonstrated experience handling confidential information with discretion and professionalism.
Background in communications, public relations, or administrative roles with a high degree of visibility and stakeholder interaction preferred.
PERFORMANCE RESPONSIBILITIES:
Maintain the Superintendent’s calendar and schedule, prioritizing appointments and managing multiple priorities simultaneously.
Anticipate the Superintendent’s needs and proactively address administrative and logistical challenges.
Represent the Office of the Superintendent at events within the district.
Draft, edit, and proofread professional correspondence, reports, and presentations.
Provide administrative support for the RSU School Board by preparing agendas, taking minutes, following up on action items, and attending all meetings.
Ensure timely distribution of School Board materials and maintain accurate records of School Board agendas, minutes, and policies.
Review and approve staff absence requests in alignment with employee contracts and Collective Bargaining Agreement (CBA) provisions, consulting with HR or administration as necessary.
Build and sustain positive working relationships with staff, School Board members, members of the community, and external partners.
Manage and update the district’s live feed and social media account with timely, professional, and engaging content to promote events, announcements, and district achievements.
Maintain a high level of attention to detail across all communications and digital platforms to ensure consistency, clarity, and professionalism.
Maintain confidentiality and exercise sound judgment in handling sensitive information.
Apply critical thinking and problem-solving skills to daily tasks.
TERMS OF EMPLOYMENT:
Full Year, Hourly. Working conditions to be established by the RSU 57 School Board.
