    JOB TITLE: Administrative Assistant for Facilities and Operations 
    SITE: Board of Education / Facilities and Operations
    PAY SCALE: Administrative Assistant  
    PAY TYPE: Classified/Non-Exempt/Hourly
    RETIREMENT: TRS
    WORK YEAR: 12 months
    REPORTS TO: Director of Facilities and Operations

    GOAL:  Responsible for performing a wide variety of skilled office duties in an accurate, timely and organized manner to support the work of the department assigned.
     
    Responsibilities:

     
    • Work with the director and finance department to enter requisitions and place/receive orders while maintaining accurate records of inventory and budgets
    • Maintain databases as required based on department/program needs
    • Generate data reports to assist with data needs of the department/program
    • Answer phones and screen/direct calls and provide information to stakeholders in a professional, polite and tactful manner
    • Generate and proofread correspondence and documents
    • Keep the director informed and adhere to the chain of command
    • Perform other tasks consistent with the job goal for this position assigned by the director
    Qualifications:
    • High School Diploma or equivalent; business or technical training preferred
    • Minimum of 3 years secretarial/clerical experience
    • Experience with organizing spreadsheets, maintaining budgets and reporting is preferred.
     Skills & Abilities:
    • Proficient computer skills including the use of Microsoft Office and Google Apps
    • Ability to maintain an effective and positive working environment with all stakeholders
    • Excellent verbal and written communication skills
    • Critical thinking, problem-solving, and organizational skills 
    • Ability to perform tasks and projects with a high degree of accuracy and attention to detail
    • Ability to independently prioritize and process workflow
    • Ability to handle confidential matters professionally
    • Ability to manage multiple tasks and meet deadlines with frequent interruptions
    • Ability to diffuse and manage volatile and stressful situations
    • Must have an acceptable criminal background check
     

    Physical Demands:
    While performing the duties of this job, the employee is frequently required to sit for extended periods of time. Employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. Employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
