Position Overview: Assists the appropriate administrator in maintaining an efficient, well-run department. Must have 2-3 years successful experience in a modern office setting. Must be able to demonstrate a good working knowledge of computer/technical skills necessary (word-processing, graphics, spreadsheets, desktop publishing, and database programs, etc.) Must have the ability to organize a variety of activities and be able to deal with employees and the public in a positive manner.
Essential Duties and Responsibilities:
- Receive and assist office guests and district staff in a positive and gracious manner.
- Execute secretarial duties that include but are not limited to: receiving and transferring phone calls, processing verbal, written and electronic correspondence, taking meeting minutes, and managing staff calendars as applicable.
- Organize, maintain and submit data for state reports.
- Manage department accounts, purchase orders and budget reports.
- Order, maintain, and distribute supplies for students and staff.
- Create promotional items such as brochures, newsletters and social media posts.
- Work with outside entities in a collaborative effort to comply with legislative mandates and community needs.
- Organize and schedule events that include but are not limited to: staff training, family/student support events.
- Self manage tasks, projects and various work duties in an efficient and timely manner.
- Ability to fluctuate working hours to assist staff in evening meetings and conferences.
- Maintain confidentiality for all students, families and staff.
- Ability to receive additional training for the betterment of the team and school district.
- Ability to drive to school district buildings or various locations as needed.
- Capable of lifting up to 20 pounds as needed.
- Assist staff with database management, basic technology and other duties when necessary.
- Perform other work duties as assigned.
Required: - Bilingual in Spanish preferred.
- High school diploma or equivalent
- Valid driver's license and car insurance
- Experience working with persons of various backgrounds and living situations
