REPORTS TO: Director of Buildings, Grounds and Safety WORK SCHEDULE: 4 hours per day, 260 days QUALIFICATIONS: High school diploma or equivalent required Prior experience in clerical, administrative, or operations support is preferred Experience in a school district or similar setting is preferred Demonstrate excellent communication, organizational, and interpersonal skills Exhibit knowledge of Skyward software system is preferred Maintain high standards of confidentiality, professional integrity, and accuracy of work product Work independently, stay on task, and assume responsibility for assigned projects and duties while able to adapt to changing work priorities Demonstrate behavior that promotes positive relationships Competence in the use of computers, financial software, and Google Suite POSITION SUMMARY: The Maintenance and Copy Shop Clerk role is a dual-function position that assists the with document production of student learning materials and supports the maintenance department with clerical and light operational tasks. This position plays a critical role in ensuring smooth administrative and maintenance operations within the school district.
PRIMARY RESPONSIBILITIES:
Copy Clerk Duties (25%) Operate and maintain high-volume copy machines to produce documents, handouts, and other printed materials as requested by staff. Manage the inventory of paper, toner, and other supplies, ensuring timely reordering and restocking. Assist in preparing materials for meetings, including stapling, binding, and collating as needed. Troubleshoot basic copier issues and coordinate maintenance or repair services with vendors when necessary. Maintain a system for tracking copy requests to ensure efficiency. Maintenance Support Duties (75%) Provide clerical assistance to the maintenance department, including data entry, filing, and updating work order systems. Monitor and track maintenance supply inventory, assist in gathering quotes, and enter purchase orders into Skyward. Properly code all invoices for Director of Buildings, Grounds, and Safety approval. Communicate with vendors and contractors regarding service schedules or supply deliveries as directed. Assist with scheduling and coordinating maintenance-related activities across school facilities. Support minor on-site tasks, such as delivering supplies or equipment to maintenance staff or school sites. Monitor and record the distribution of building keys. Other duties as assigned.
