Job Summary:
The Data Specialist – Registrar oversees centralized student registration, ensuring a seamless enrollment process for families. This role verifies residency, ensures completion of the online registration process, and manages student data with accuracy. Additionally, the Data Specialist – Registrar analyzes, audits, certifies, and publishes student information, supporting data integrity across the District.
Primary Responsibilities: - Ensures accurate documentation for proof of residency is provided.
- Utilizes student information systems to input and update student data.
- Troubleshoots registration system issues, offering support to families navigating online registration portals.
- Ensures data accuracy and integrity for state and federal reporting compliance.
- Maintains confidential student, family, and staff records in database systems, including entering data, uploading documents, and generating reports.
- Assists with billing and fee collection related to student registration.
- Creates flyers, forms, and promotional materials for enrollment activities.
- Supports the planning and execution of registration events and outreach programs.
- Monitors student needs and circumstances on enrollment forms, advising when supervisory review is necessary.
- Prepares written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Responds to user requests for a variety of report options to ensure the dissemination of information to appropriate parties.
Qualifications: - High School Diploma or equivalent required. Associate’s Degree in Information Technology or Business Administration preferred;
- Three years of responsible data entry or clerical support experience in the operation of student information systems and related software for a school or district;
- Valid state of Illinois driver’s license;
- Fluent in understanding, speaking, reading, and writing Spanish;
- Proficiency in Microsoft Office, Google Suite, and student information systems, including the use of spreadsheets to organize and communicate student information;
- Experience with student information systems such as the PowerSchool Enrollment platform;
- Experience in school administration, student registration, or customer service preferred;
- Knowledge of student enrollment policies, residency requirements, and state regulations;
- Ability to troubleshoot user problems efficiently and effectively;
- Strong work ethic with a detail-oriented approach; and
- Strong communication, public relation, and interpersonal skills.
Salary and Benefits: - Salary range of $40,000 to $43,750, commensurate with relevant experience;
