JOB TITLE: Airport Assistant
LOCATION: Decatur Airport
CLASSIFICATION: Full-Time, Non-Exempt, Entry-Level
SUMMARY
This full-time position reports to the Airport Director and includes scheduling appointments, answering phone calls, as well as additional administrative duties. This position requires regular availability Monday through Friday from 8:00a.m.-5:00p.m.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Monitor local and regional weather patterns.
- Accounts Receivable for hangars and other airport related activities.
- Posts monthly information: general ledger, Accounts Receivable into LOCIS computer software.
- Ability to run and locate LOCIS reports for account balances.
- Maintain spreadsheet showing replacement schedule for Airport capital assets.
- Provide assistance to District’s Accounts Receivable staff in collecting past due accounts.
- Assist Airport Director and consultants in completing grant applications.
- Maintain organized filing system for grant projects (identifying closed and open projects).
- Submit online Passenger facility Charge (PFC) payments on a monthly basis.
- Maintain spreadsheets outlining Airport activity, including but not limited to totaling the number of enplanements/deplanements; summarizing Custom operations; summarizing rental car business and total airport operations.
- Request and collect insurance certificates as required.
- Generate invoices for all airport on a monthly basis.
- Make deposits for payments of hangar and restaurant rent and other customer payments made at Airport Office. Post the A/R deposits to RecTrac for posting on Locis.
- Compile and send information on advertising displays to A/R Clerk for annual invoicing.
- Assist Airport Director in preparing for annual audit and responding to questions from auditors.
- Submit voucher request for payment of International trash runs.
- Balance petty cash funds at the beginning of each month.
- Answer and direct phone calls received at the Airport to the appropriate staff and/or business.
- Ability to Work with the State of Illinois on project status and reimbursements.
- Maintain Records of contracts with tenants.
- Coordinate and Maintain work orders called in by tenants and airport staff.
- Maintain FAA project documents.
- Review and type contracts/lease agreements for Airport.
- Order supplies for Airport office as needed.

This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
Associates Degree (business coursework) or one to two years administrative experience and/or training; or equivalent combination of education and experience. Candidate must be proficient with the Microsoft Office Suite.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
