POSITION SUMMARY
The Budget Associate in the Teaching & Learning Division is responsible for supporting the financial planning, budgeting, and expenditure tracking of instructional programs and initiatives within the school district. This role ensures that budgetary processes align with district policies, state regulations, and federal funding requirements. Key responsibilities include assisting with budget preparation, monitoring expenditures, processing financial transactions, and generating reports to support decision-making. The Budget Associate works closely with department leaders, school administrators, and finance teams to ensure the efficient allocation and use of resources to enhance teaching and learning programs. Additionally, the role requires strong analytical skills, attention to detail, and the ability to manage multiple financial tasks while maintaining accuracy and compliance.
MINIMUM REQUIREMENTS
EDUCATION:
- Bachelor’s degree in finance, Accounting, Business Administration, Public Administration, Education
Administration, or a related field required. - Master’s degree in a relevant field (e.g., Finance, Public Administration, Educational Leadership) is preferred.
CERTIFICATION/LICENSE: WORK EXPEREINCE: - 2 to 3 years of experience in budgeting, finance, accounting, or a related field, preferably in an educational
or public sector setting required. - 3 to 5 years of experience in school district finance, budget management, grant funding, or public sector accounting
preferred.
KNOWLEDGE, SKILLS & ABILITIES - Excellent communication and interpersonal skills.
- Ability to take initiative, be detailed oriented, and highly organized.
- Demonstrated knowledge of budget preparation, financial forecasting, and expenditure tracking within a school
district or public sector. - Knowledge of generally accepted accounting principles (GAAP), governmental accounting standards (GASB), and
public finance regulations. - Experience with budgeting and accounting software (e.g., SAP, Munis, PeopleSoft, Oracle) and proficiency in
Microsoft Excel and financial reporting tools. - Proficiency in spreadsheets, financial databases, and enterprise resource planning (ERP) systems for budget
tracking and reporting. - Ability to assist in developing, monitoring, and adjusting budgets based on district priorities and funding
availability. - Ability to analyze financial data, create reports, and make recommendations to improve budget efficiency.
ESSENTIAL DUTIES
- Assist in the development, preparation, and monitoring of the Teaching & Learning Division’s annual budget to
ensure alignment with district goals and compliance with state and federal regulations. - Track, analyze, and reconcile budget expenditures, ensuring accuracy and adherence to financial policies.
- Processes incoming mail, routes to appropriate personnel, prepare replies to correspondence or routes to appropriate personnel to reply and follows-up to ensure appropriate action has been taken.
- Coordinates travel arrangements for the Chief, prepares all travel expense statements, serves as the travel contact
for district meetings held in- and out-of-town, and assist in the coordination of events for the department. - Maintains, monitors, and oversees departmental processes, policy and procedures as it relates to the Office of the
Chief to ensure that all are within the Atlanta Public Schools’ guidelines. - Schedules all appointments/meetings, and maintains the daily calendar and appointment book for the Chief.
- Assist in the preparation and submission of budget amendments and financial reports for district leadership and
stakeholders. - Maintain accurate financial records and assist with audits by compiling necessary documentation and supporting
data. - Prepare detailed financial reports, summaries, and presentations to support decision-making within the Teaching &
Learning Division. - Assist in evaluating financial efficiency and cost-effectiveness of instructional programs and resources.
- Provide technical assistance and training to staff on budgeting procedures, financial reporting tools, and
expenditure tracking. - Research and implement best practices in school finance management to enhance operational efficiency.
- Identify opportunities to improve budgeting processes, financial tracking systems, and reporting accuracy.
