    Job Summary
    The Instructional Office Manager provides support for the senior directors of the instructional divisions. The office manager works with minimal supervision to prepare communications and correspondence, purchasing and budget documents, and materials and information. The position has a retirement association with the Public Employees’ Retirement System (PERS).
     
    Job Requirements
    The following are required:
    1. A high school diploma or equivalent.
    2. Four years of secretarial experience, with two years in an administrative assistant level position.
    3. Strong computer skills.
    4. Proficiency with Business Plus or a similar business management system.
     
    The following are preferred:
    1. Macintosh and Windows computer skills.
    2. Ability to effectively use Microsoft Office and Google Drive.
     
    Essential Job Functions
    1. With direction, prepares professional-level communication for review and approval by the senior director, to include word processing/typing of letters, memos, forms, policies, and procedures, and handling of confidential information.
    2. Works independently to maintain accurate records and complete assignments from supervisor and other department staff.
    3. Maintains confidentiality.
    4. Prepares all purchasing and budget documents, including use of the Business Plus system.
    5. Prepares and monitors the department and grant budget account, contracts, and supplies, and orders materials as appropriate.
    6. Maintains confidential files, records, correspondence logs, and other records for department and grant activities.
    7. Assembles materials, information, and agendas for various department staff, committees, and other meetings.
    8. Receives and screens visitors, schedules appointments, and arranges meetings.
    9. Assists the senior directors of Instruction in the management of their schedules and handles their calls from both internal and external sources.
    10. Maintains a master copy of department procedures.
    11. Establishes and maintains productive working relationships with all levels of the organization and the public.
     
    Physical /Mental Demands
    The physical demands of this job require frequent standing, walking, sitting, speaking and hearing. Specific visual abilities are also required. The employee is regularly required to reach with his/her hands and arms and occasionally lift items weighing less than 40 lbs. Additionally, the employee must be able to understand vague and implicit instructions, be able to readily recall facts and details, handle conflict and make effective decisions under pressure. The employee must have the ability to effectively manage the stress of working with students, parents, and other employees representing diverse cultures, personalities, and work styles in a dynamic work environment.

    Work Environment
    Work is performed in a professional environment with a wide variety of individuals having differing functions, personalities and abilities, including working with diverse groups of people in a variety of different settings.
     
    While performing the duties of this job the employee may be regularly exposed to a video display. The employee may be exposed to outdoor weather conditions. The noise level in the work environment is usually moderate.
