Summary:
The Administrative Assistant will provide secretarial and administrative support to the Superintendent, which requires a range of skills and knowledge of policies and procedures of the school district.  S/he will also assist the members of the Board of Education in the coordination of their meetings, policies and their role as board members.

Responsibilities:
• Perform research, gather information, analyze data and prepare the following Michigan Department of Education reports:
  • Planned Days and Hours of Instruction Report
  • School Infrastructure Database (SID report)
  • Provide periodic support with Pupil Membership Count Report
  • Update and keep current the Educational Entity master (EEM)
• Processing of enrollments through Infinite Campus OLR, and approving/forwarding to individual buildings for student processing.  Support for building secretaries and registrars for issues related to student enrollment.
• Manage dual enrollment by working with local colleges and universities as well as the high school counseling office, calculating amount to be paid by the district per the state formula, obtaining check for payment to the college/university; notifying and billing families the balance due, keeping accurate records to report to the business office for FID reporting.
• Prepare annual insurance renewal reports.  Maintain insurance records pertaining to property and liability claims and student accident reports.
• Manage worker’s compensation insurance claims; work with staff and health professionals.  Complete OSHA reports if required by MIOSHA.
• Manage student insurance claims, working closely with parents and local medical providers when issues arise.
• Coordinate school district elections with attorneys and with Ottawa and Allegan Counties.
• Serve as a liaison with administrators, supervisors and employees on day-to-day issues and use discretion in assisting with the resolution of concerns.
• Provide administrative and secretarial support for the Superintendent which includes composing and/or editing correspondence from verbal direction.  Prepare monthly agendas for board meetings work study meetings, bi-monthly administrative council meetings, administrative and/or board retreats as necessary.  Attend board and work study board meetings as well as board committee meetings; take and publish corresponding minutes.
• Provide support to board members, prepare, edit and post board meeting and sub-committee meeting agenda’s in Google Docs, send meeting reminders for all board and sub-committee meetings and act as a liaison between the superintendent and board members for issues as required.
• Maintain the Superintendent’s calendar, coordinate meetings and make appointments; make travel arrangements as required.
• Update and maintain the policies through Miller Johnson; publish edited versions with the Board members for review and approval.
• Establish and maintain accurate records and files of all required data.
• Coordinate out of district schools of choice and in-district transfers, working closely with principals for approvals/placement.
• Sort and distribute incoming mail; prepare timely response to a variety of routine inquiries.
• Coordinate volunteers for the district, including submitting background checks, issuing no-contract letters and setting up appeals with the Superintendent.
• Act as a Notary Public.
• Provide periodic support for the Chief Financial Officer for annual reporting of Qualifying Statement and Annual Disclosure, Summer Taxes and L4029 with the townships and all legal/require documentation for bond proposal and/or operating millage renewal.
• Assignments and special projects as needed.

Qualifications:
• BA degree, Associates degree in Business, or a minimum of five years’ experience, preferably in an educational environment.
• Requires a high level of confidentiality, integrity, and technical skills including accounting procedures, word processing, and technology applications.
• Must have excellent communication/interpersonal skills required to maintain effective working relationships with board of education members, administrators, teachers, support staff, community members, and executive and/or legal professionals.
• Must have the ability to organize, prioritize and work independently as well as schedule and produce work in a timely manner.  Must be able to concentrate and pay close attention to detail.
 
Schedule:
8 Hours per day
8:00 am - 5:00 pm
Monday through Friday
Full Year

Compensation:
Level VI - $21.12 - $24.72

Summary:
The Food Service Secretary provides clerical and secretarial assistance to the food program.  Performs data entry and handles confidential information.  Works to keep the food program moving in a safe, smooth, and efficient way with food service employees, teaching staff, and support staff along with administrators.

Responsibilities:
• Perform clerical duties including answering phones, word processing, copying of monthly menus and filing.
• Ring in sales for ECC, CBI, sack lunches, and BCS.
• Responsible for accounts payable and PO requisitions.
• Manage student accounts and assisting parents with balance information.  Send weekly negative over $5 and $10 letters.
• Place online orders for office supplies.
• Maintain POS programs, daily transactions and daily and monthly reporting.  Troubleshoot any errors or problems in the POS Program and point of sales.
• Process and maintain district-wide free and reduced lunch applications list and import direct certification monthly.
• Produce new student or lost ID cards.
• Process invoices for catering, GSRP, Headstart, Z-Kids, BCS in Alio.
• Check weekly orders against invoices and pay bills.
• Run errands in emergency situations.
• Help in kitchen and on computers in emergency situations.
• Perform verification of free and reduced applications.
• Process and submit Gordon Food Service receipts to administration.
• Enter cash receipts and credit card summaries into Alio.
• Maintain website (menus, snow days notifications, pricing breakfast and lunch times).
• Process refund request from parents and NSF check notifications.
• Assist in the onboarding of new employees, email, POS login, employee manual, and POS training.
   
Qualifications:
• Associates degree in communications and/or accounting preferred, or high school diploma with additional training or related work experience.
• Strong computer skills (Word, Excel, and ability to be proficient in POS Program) is required.
• Must have excellent communication skills (positive, pleasant and interacts effectively with public) and the ability to handle confidential and sensitive information.
• Broad knowledge of school district organizations, policies, and procedures.
• Must be positive, pleasant, neat, clean, and able to work well with others.
• Strong oral and written communication, interpersonal, and organization skills is required.
• Ability to manage many tasks and jobs at one time.
• Must have accurate accounting abilities.
• Working knowledge of kitchen duties and supplies.

Schedule:
7:45-3:45 PM Monday, Wednesday and Thursday (August 1st - June 30th)

Compensation:
Level III - $15.87-17.14
