Job Summary:Under general supervision, the incumbent performs specialized and confidential work for the Assistant Superintendent for Business. The position requires a full range of skills in the operation of a computer in compiling and producing correspondence, records, reports, files, etc. The position also requires the frequent use of independent judgment and discretion in screening callers and planning the routine of the business office. There is considerable amount of contact with the public and/or fellow employees. Supervision may be exercised over the work of lower level clerical workers. Related work as required. Reports To: Assistant Superintendent for Business Minimum Qualifications:- Currently hold the permanent title of Secretary to School Administrator (or School Official) or be reachable on the Westchester Civil Service List or comparable list
- High School Diploma or GED
- Five years executive secretarial experience in support of a higher-level administrator or department head
- School business office experience strongly preferred
- Knowledge of school district financial software required (nVision or WinCap)
- Must be able to:
- Work independently with minimal direction or direct supervision
- Prioritize and multi-task in a fast-paced environment
- Understand and carry out complex oral and written directions
- Compose and edit routine letters and memoranda
- Handle administrative details independently
- Compile data and prepare reports
- Operate office machines such as copiers and postage meters
- Effectively use computer applications such as spreadsheets, word processing, calendar, e-mail and database software
- Maintain complex records and files
- Develop and maintain good working relationships with others
- Demonstrate good professional judgment and discretion, dependability, tact, courtesy, and initiative
Primary Activities - Ensure the annual cycle of the business office is maintained
- Prepare resolutions and submit all business office recommendations to the District Clerk for inclusion on the Board of Education agendas
- Responsible for the annual renewal of all independent contractor agreements, including review and enforcement of insurance requirements
- Assist in the coordination of meetings and preparation of the annual school budget
- Act as the System Administrator for the financial management system
- Process free and reduced lunch applications and ensure compliance with Child Nutrition regulations
- General support of the business office staff

Work Environment - The noise level in the work environment is typical for a school and office environment.

Salary Range: $65,000 - $120,000 |
