    Job Purpose
     
    Provides a variety of administrative support functions to enhance the operation of a program or division. (Note: This position performs departmental payroll function on a rotating basis.)
     
    Job Environment
     
    Work will be performed primarily in a fast paced municipal office. Manages and coordinates multiple priorities adhering to established requirements and timeframes.  Frequent use of personal computer and working at a video display terminal and reviewing computer generated reports.  May frequently interface with agitated individuals in person or during telephone contacts.  (Some positions require variable work schedule.)
     
    Essential Job Functions
     
    Maintains a responsive and professional public image.
    • Provides and obtains program, financial, and/or personnel related information to and from other departments.
    • Communicates in order to obtain or transmit routine information, to resolve discrepancies, and to handle customer complaints.
    • Types, files and may release confidential information according to established policy.
    • Provides information, reports, permits, fingerprinting to customers via phone and walk in requests.
     
    Facilitates the efficient operation of an office.
    • Orders and maintains inventory of office supplies.
    • Completes, prepares and files purchase requisitions, purchase orders and payment vouchers; reconciles discrepancies and questionable charges.
    • Prepares, audits, reconciles Payroll for entire Police Department & School Crossing Guards according to appropriate contractual and legal requirements.
    • Maintains employee attendance records.
    • Prepares personnel action forms according to appropriate contractual and legal requirements.
    • Proofreads information for accuracy.
    • Performs data entry work.
     
     
    Enhances the accomplishment of programmatic goals.
    • Reviews source documents and related reports for accuracy including account coding, payee/payor information, authorization, and other pertinent information.
    • Updates account information within filing/information system; reconciles errors and reenters information.
    • Collects, records, balances and deposits revenue according to established procedure; may perform calculations to determine amount collectible or account status.
    • Composes correspondence to obtain or transmit routine information.
    • Types, transcribes, and edits correspondence, reports, forms and specifications utilizing various typewriters and/or personal computers.
    • Conducts program registrations.
    • Accepts application, verifies information and determines preliminary program eligibility.
    • Assembles data and performs calculations for reports.
    • Maintains manual and automated files.
     
     
    Knowledge, Skills and Abilities
     
    • Ability to demonstrate proficiency in software applications to meet departmental requirements.
    • Ability to compose/type and edit final copy.
    • Knowledge of correct language usage (grammar, spelling, punctuation) sufficient to identify and correct errors.
    • Knowledge of financial recordkeeping.
    • Ability to compose correspondence in order to obtain and transmit information.
    • Ability to compare and perceive differences between two sets of copy.
    • Ability to determine and search for information required to resolve problems, answer customer inquiries, requests for assistance, and complaints.
    • Ability to prioritize work assignments to meet established deadlines.
    • Ability to apply/adapt instructions or procedures from one assignment to another.
    • Ability to simultaneously operate keyboard and transcribing equipment.
    • Ability to perform data entry work and maintain filing systems.
    • Ability to perform basic arithmetic calculations with various units of measure manually and/or using equipment.
    • Ability to interact with employees and the public in a courteous and professional manner.
     
     
     
     
     
    Minimum Qualifications
     
     
    High school diploma plus minimum of one (1) year related experience; or equivalent combination of education and/or experience.

    The Town reserves the right to limit the number of qualified candidates invited to any portion of the selection process.  
     
    An individual appointed to the position must satisfactorily complete a six (6) month probationary period.
     
    Background Investigation:  A thorough background and character investigation will be conducted for the specific purpose of obtaining pertinent data for Staff Assistant positions within the West Hartford Police Department.  Eligible candidates will be requested to authorize a release of personal information, however personal or confidential it may appear to be, including but not limited to, educational, financial/credit agencies and institutions, medical history, employment history, legal complaints, arrests or convictions, and motor vehicle history.
     
    NOTE:  According to Connecticut General Statutes Sections 46b-146, 54-760 or 54-142a effective October 1, 2002, applicants are not required to disclose the existence of any arrest, criminal charge or conviction, the records of which have been erased pursuant to finding delinquency or a finding that a child was a member of a family with service needs, an adjudication as a youthful offender, a criminal charge that has been dismissed or knolled, a criminal charge for which the person has been found guilty, or a conviction for which the person received an absolute pardon.  Any person whose criminal records have been erased pursuant to these rules shall not have been considered arrested within the meaning of the Connecticut General Statues with respect to the erased proceedings may swear so under oath.
     
    Drug Testing: For positions within the Police Department, candidates shall be required to submit to a drug test as a part of the pre-employment process.
