DUTIES/RESPONSIBLITIES:
Building Duties:
1. Greet school visitors while interacting with the public in an office setting;
2. Work under the direction of assigned building Principal of Record/Campus Leader or designee.
3. Ensure that ALL visitors sign in, receive an identification badge and are made aware of the building visitation policies and procedures.
4. Cross-train in student daily attendance and other office procedures in order to be able to substitute when a secretary is absent;
5. Assist assigned staff with signing in and recording students tardy to school;
6. Assist assigned staff with calling parents/guardians of absent students to verify absences in order to maintain high level of building attendance;
7. Assist clerical staff with daily office routines as requested to include, but not limited to; U.S. and inter-office mail distribution; building mailings for staff and/or students;
8. Answer phones and distribute messages as needed; and
9. Copying, laminating, sorting and preparing materials for classrooms.
Administration Building:
1. Assume responsibility for the switchboard, answer incoming phone calls, locate district staff members, and answer general questions regarding the District;
2. Greet school visitors while interacting with the public in the Department and Board of Education office;
3. Give directions to various persons and places, both in the school district, within the Administrative Building and the downtown area;
4. Maintain excellent public relations with customers and co-workers at all times;
5. Student Records:  Assist with recording and maintaining students’ information such as transfer, withdrawal, address change, open enrollment, tuition, provide accurate information to Data processing department to correct information on EMIS, and provide student information to various public agencies;
6. Assist in the registering of all students and transferring students grades PK-8 monitoring enrollment in compliance with established school district boundaries and with regard to legal custody; 
7. Assist in mailroom as needed;
8. Assist other department in preparation of mass mailing, alphabetizing documents, etc. as time permits;
9. Performs all clerical duties such as completing POs, typing, making copies, correspondence with parents and staff members, answering phone calls, keeping various data basis, cross training, filing, etc.;
10. Perform other relevant duties, as may be assigned by Building Principal, Campus Leader,   Superintendent, Associate Superintendent or his/her designee; and
11. Abide by the rules, regulations, policies and procedures of The Warren City School District Board of Education.

SALARY:  Salary Table E, Pay Range I, Salary per negotiated union contract. 

CONTRACT:  209 Days (40 Weeks) Modified Schedule; 7.5 hours per day, 37.5 hours per week.

Employment upon completion of all Warren City Schools pre-employment requirements.

7. Assist in areas of public relations and communications with students, staff, families and community.
8. Assist in scheduling, as needed, exercising priority, including:
   1. Building assemblies;
   2. Parent/Teacher conferences;
   3. Building meetings; and
   4. Any other appointments as required.
9. Keep constantly informed of school policies, guidelines and procedures.
10. Answer incoming phone lines and assist person on the phone as needed.
11. Help pupils, staff members and parents with routine problems.
12. Receive and deliver messages to staff and students, electronic and/or hard copy, according to building and district protocol.
13. Prepare, receive and distribute inter-office, U.S. and electronic mail as required.
14. Operate office machines and maintain supplies for copy machines, faxes, etc.
15. Maintain student information in DASL and permanent record files which include:
    1. Enrolling student;
    2. Withdrawing student and releasing pertinent information to school;
    3. Attaching end of year grade stickers to student’s permanent record card;
    4. Assist in retention lists and summer school grades;
    5. Attaching or recording end of year assessment data to student assessment record;
    6. Prepare 8^th grade files at the end of the school year to be sent to the High School; and
    7. Account for all pupils enrolled for the previous year.
16. Enter all daily attendance in computer, maintain and retain hard copy files including:
    1. Daily attendance;
    2. Tardy to school;
    3. Excuses from previous attendance days;
    4. Early releases; and
    5. Any other changes that are required regarding student attendance.
17. Type daily attendance bulletin and distribute or post for staff.
18. Call in daily enrollment and attendance numbers through ADM count week.
19. Maintain record of students on Home Instruction, JJC, etc.
20. Verify pupil attendance for staff, parents and various agencies, Family Services, Social Security, etc.
21. Record telephone calls from parents regarding attendance.
22. Assist Principals, School Community Liaisons and appropriate personnel in recognizing known truant students.
23. Input all suspension and any other discipline related issues into the proper computer program.
24. Distribute and mail all suspensions and communications home to families as directed.
25. Type requests for expulsion and pre-expulsion as needed (including copying discipline information, record card and attendance for each student.)  Notify Principal of date and time of each hearing.
26. Abide by the rules, regulations, policies and procedures of The Warren City School District Board of Education.
27. Perform other relevant duties as may be assigned by Superintendent/CEO, Building Principal and/or designated supervisor.

SALARY:  Salary Table E, Pay Range IV, Salary per negotiated union contract.

3. 4. Maintain permanent depository of school records and supply transcripts of same upon receipt of signed release.
5. Issue, file, track all age and schooling certificates (work permits) in accordance with laws and regulations.  Keep updated spreadsheet information.
6. Coordinate with Secretary E-Registration at Warren G. Harding High School to provide Bureau of Motor Vehicles with list of students who have withdrawn from school.  Contact BMV, and type drivers’ licenses revoked form of full-time work permits for students not attending classes.  Compile annual report.
7. Register all students and transfer students grades K-8 monitoring enrollment in compliance w/established school district boundaries and with regard to legal custody.
8. Upon receipt, file suspension forms from all schools accordingly.
9. File withdrawn student folders and paperwork as they are received.
10. Prepare student records for verification of scanned disk to alphabet list.  Purge/shred old records of students after scanning.
11. Type/send both Intra-District and Inter-District Open Enrollment forms.  Run report on Open Enrollment and correct any EMIS errors.
 
• Maintain open enrollment records, application status, and notifications to families, buildings and other school districts. 
 
12. Maintain database of all juvenile/adult cases filed in court and files on juvenile charges, adult charges, daytime curfew offenders, arrests, summons, and protection orders.
13. Prepare and send to kindergarten parents, written communication identifying any missing records from kindergarten registration.
 
• Manage kindergarten registration status, numbers, and procedures.  Keep Student Services, Administration or buildings apprised of registration status.
 
14. Perform duties as requested by supervisor such as typing letters/reports, opening mail, etc., and assist secretaries with attendance or student problems.  Cross-train with other secretary in Student Services.
 
15. Mailroom:
 
1. Assume responsibility for effective operation of the Mailroom in the Administration Building that includes ensuring equipment is in proper operating condition (call out of machines repair person as needed) with adequate supplies and paper for all machines.
2. Responsible for all bulk mailings including preparing envelopes and getting mail to the post office.
3. Process all incoming and outgoing U.S. mail and interoffice mail.
4. Responsible for taking mail to the post office at the end of the work day.
5. Work with Business Office to coordinate purchase orders for supplies and postage.
 
16. Order Clerk:
    1. After the Treasurer approves purchase orders, print, separate, distribute and file all purchase order copies.
 
17. Abide by the rules, regulations, policies and procedures of the Warren City School District Board of Education.
18. Perform other relevant duties as may be assigned by Superintendent, Associate Superintendent and/or his/her designee.

SALARY:  Salary Table E, Pay Range V, 260-262 day (52 week) Contract.  Salary per negotiated union contract.
