Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty listed below satisfactorily.
Daily general assistance to the Chief School Business Official and the Business Office
Field phone calls, mail and district office visitors
Maintain and manage all business office files
Update district website
Manage Frontline Absence Management System
Ensure substitutes are secured daily
Enter new employees/substitutes into PowerSchool
Assist with grant budgeting and tracking
Medicare claiming and tracking (PCG and ITAMES)
Process monthly health, dental, vision and ECHO bills
Transportation reports - regular education, student service and McKinney-Vento cost sharing/billing
Prepare quarterly grant expenditure reports
Upload sick and personal days in Gemini and Ivisions biweekly and annually
Assist with all audit requests
Assist with Maintenance of Effort and Excess Cost requirements
Process SSSPC rebate checks
Records disposal tracking and assistance
Review purchase requests for pricing and accounting requirements
Track purchases necessary for inventory reporting
Coordinate technology equipment disposal
Maintain records for staff accidents and workers compensation related documents
Work with school employees to ensure business office responsibilities are completed efficiently
Serve as backup for payroll and accounts payable positions
All other duties as assigned by Supervisor or District Administrator

Education and Experience:
Prior secretary or administrative assistant experience, preferably in a school or district office or similar setting
Associate’s or Bachelor’s Degree Preferred
