    Job Description
     
    Position Title:  Junior High School Principal’s Secretary                         FLSA Status:  Non-Exempt
     
    Responsible to:  Building Principal                                                        Supervises:  N/A
     
    Evaluated by:  Building Principal                                                           Terms of Employment:  215 days
     
    Evaluation Period:
    • Formative evaluations throughout the school year as per MCS Performance and Assessment procedures
    • Annual evaluation prior to May 30
     
    Purpose of the Position:  To provide assistance to the building principal and perform additional tasks assigned by the building principal.
     
    Classified as Confidential Employee: Functional responsibilities or knowledge in connection with the issues involved in dealings between the school corporation and its employees require strict adherence to confidentiality.
     
    Minimum Requirements:  The following qualifications represent the minimum requirements necessary for an individual to perform this position effectively.
    • High school diploma or GED equivalent and five (5) years of clerical experience
     
    • Demonstrated reliability, flexibility and stress management within an ever-changing environment
    • Technology skills in areas of typing, word processing, Excel Outlook, Infinite Campus, alarm systems, phone systems and building intercom
    • Strong people and communication skills
    • Self-motivation and ability to work effectively individually or as part of a team
               
    Essential Functions of the Position:  The following functions have been determined by Marion Community Schools to be essential to the successful performance of this position.
    • Serve as the primary contact for the general public and school personnel regarding school business.
    • Answer phones and monitor classroom intercom/communications.
    • Find clothes, books, money, IDs, assignments, personal notes, medicines, instruments, etc. and have delivered to students. 
    • Oversee student usage of phone.
    • Maintain the Master Calendar of events; type monthly calendars.
    • Type daily bulletins, news releases, staff memorandums, letters home to parents, permission slip forms.
    • Coordinate substitutes.
    • Maintain building staff payroll and submit to ESC.
    • Submit maintenance work orders.
    • Distribute materials to staff.
    • Submit State Reports.
    • Oversee copy machine maintenance on four copy machines and the fax machine.
    • Design, type and mail quarterly newsletters.
    • Coordinate Fall Registration (notify students, parents, recruit parent volunteers; compile registration materials for parent pick up).
    • Put together teacher grade books and type opening of school materials for teachers.
    • Distribute supplies to teachers/staff.
    • Mail assessment results to parents.
    • Prepare Student Awards.
    • Manage report cards (grade changes, grade verifications, report card distribution to teachers, PowerSchool preparation for grades to be entered, F List, Honor Roll).
    • Type truancy letters for Social Worker.
     
    Secondary Functions of the Position:  The following functions, while important and necessary to the position, have been determined by Marion Community Schools to be marginal to the successful performance of this position.
    • Perform other duties and responsibilities as directed by the Building Principal and/or the Superintendent.
     
    Knowledge of:
    • Policies, procedures and functions of office administration
    • Applicable software and applications
     
    Ability to:
    • Plan, organize, and schedule priorities.
    • Use independent judgment and initiative in making sound decisions and in developing solutions to problems.
    • Discreetly handle confidential and politically sensitive matters.
    • Make independent decisions in accordance with established policies and procedures.
    • Tactfully and courteously respond to requests and inquiries/complaints from the general public and staff.
    • Communicate clearly and concisely, both orally and in writing.
    • Establish and maintain effective working relationships with students, staff and the community.

    • General Office Equipment (computer, telephone, copier, fax machine, typewriter)
    • Emergency radio

    Physical Demands:
    • Must be able to sit and/or stand for long periods of time.
    • Must be able to stoop, kneel or crouch.
    • Must be able to hear and speak clearly.
    • Must be able to lift items of 20 lbs. occasionally.
