Job Title: Human Resources Coordinator
Reports to: Assistant Superintendent and Superintendent
Summary: The Human Resources Coordinator will be responsible for centralizing and managing key HR functions to ensure a systematic, efficient, effective, and supportive environment for all district staff.
Conditions of Employment: - Fiscal year (July–June), 248 days, 8 hours per day

Qualifications: - High School diploma/equivalent required; Bachelor's Degree in human resources, business administration or a related field preferred
- Experience in human resources preferred, preferably in a public school setting
- Proficiency in Microsoft Office (Word and Excel) and/or Google Drive (Docs and Sheets)
- Internet and social media skills
- Strong organizational skills, technology skills and multitasking abilities
- Strong attention to detail
- Excellent written and verbal communication skills
- Ability to effectively present information and respond to questions from groups of employees and individuals at all levels
- Demonstrate excellent integrity, character and initiative, respect confidentiality
- Must be able to attend evening meetings as directed by Assistant Superintendent
- Criminal justice fingerprint/background and Faith’s Law clearance
- Current physical and TB
Essential Responsibilities: - Conduct new staff onboarding process and maintain personnel files
- Meet with all new hires to complete onboarding paperwork
- Input employee data into various locations including but not limited to:
- Skyward, BenefitSolver, IMRF, TRS and Aesop
- Process Faith’s Law Employment History Review
- Print license information from ISBE and input State ID, license, degree and certification information into Skyward.
- Ensure that we have official transcripts on file for all new hires per state requirements
- Ensure all required documentation is maintained in personnel folders
- Scan old employee records
- Maintain staff insurance and benefits for all eligible employees including but not limited to:
- Annual and as-needed update of all benefits and deductions for all employees
- Monthly audit of all benefits premiums and liabilities
- Quarterly audits of NIHIP ACA reporting
- Attending meetings and collaborate with benefit vendors
- Facilitating the Benefits Committee for the District
- Facilitating the District’s annual benefits open enrollment
- Work with NIHIP to set up and organize yearly Wellness Screenings for District employees
- Coordinate teacher coursework requests and reimbursements
- Ensure compliance with Illinois Continuing Professional Development Units (CPDUs) for renewal
- Track the total approved reimbursement dollars to ensure we do not go over in relation to the contractual agreement
- Update and maintain records, and determine lane movements
- Maintain online application database through AppliTrack
- Assist prospective and current teachers, administrators, paraprofessionals and substitutes in understanding and complying with the Illinois State Board of Education (ISBE) certification and licensure requirements
- Provide guidance on state mandates, endorsements, and renewal policies.
- Collect and compile annual evaluations
- Update Skyward and related files with evaluation ratings and tenure status
- Update the "Years of Service" field in the Skyward system annually
- Ensure that the data reflects any adjustments, such as leaves of absence, part-time service, or breaks in employment, as per Illinois State Board of Education (ISBE) guideline
- Assist in preparing various in-district reports and forms for staff:
- Honorable Dismissal List
- Agreement of Assignments
- Employee Compensation and Position Form
- Process various state reports
- Non-Certified Staff Salary Study
- Teacher Salary Study
- Quarterly Bureau of Labor Reports
- Statement of Economic Interest
- Provide certification renewal notifications to staff annually
- Update certification expiration dates into Skyward annually
- Update district Labor Law postings to maintain compliance with IL and Federal requirements
- Process ‘Creditable Coverage’ disclosure information annually
- Medicare Part D Notice and CMS Disclosure
- Adhere to the district’s expectations with regards to attendance and punctuality
- Perform other administrative duties as assigned by the Assistant Superintendent or Superintendent
