    Description: 

    The Registrar is responsible for overseeing key activities related to student enrollment, withdrawal, and summer registration. This role ensures that all processes are efficient and compliant with district policies and state regulations. The Registrar will collaborate with various departments, maintain accurate student records, and handle confidential information with discretion.


    Essential Functions:
    • Enrollment & Registration:

       
      • Register and enroll all students in the district.

      • Process student withdrawals as appropriate.

      • Input and update student registration information in the Student Information System (Infinite Campus).

      • Coordinate enrollment activities between central office and schools.

      • Oversee the summer registration process.
         

    • Recordkeeping & Reporting:

       
      • Ensure accurate and timely transfer of student records, including cumulative records from other schools to the respective receiving school within the district.

      • Prepare and submit required reports regarding student enrollment.

      • Maintain the Online Registration (OLR) system in the SIS for the roll-forward process into new school years, ensuring updates align with guidelines from the Ohio Department of Education (ODE).

      • Regularly update the district’s secure Registration network drive, including student enrollment, withdrawal, and special education records.

      • Work with the Statewide Student Identifier System and Ohio District Data Exchange (ODDEX) to ensure accurate and up-to-date student records.
         

    • Collaboration & Communication:
       

       
      • Demonstrate effective customer service and communication skills with staff, students, and parents.

      • Work closely with the immediate supervisor on EMIS-related data entry tasks and other assigned duties.

      • Collaborate with building secretaries to coordinate student records during the registration process.

      • Maintain effective working relationships with other districts to ensure proper transfer of student records.
         

    • Compliance & Security:
       

       
      • Maintain confidentiality of student and staff information, adhering to data privacy regulations.

      • Secure and manage student records in compliance with ODE’s Records Retention Policy.

     


    Working Conditions:

     
    • Occasional weekend, evening, or summer work.
    • Occasional exposure to blood, bodily fluids, and tissue.
    • Interaction with unruly children and adults may occur.
    • Repetitive hand motions, including typing, using a calculator, and writing.
    • Regular physical demands, including sitting, standing, walking, talking, hearing, seeing, reading, and various other movements (e.g., stretching, crouching, kneeling, climbing, stooping).

    Required Knowledge, Skills, and Abilities:

     
    • Ability to collaborate effectively with colleagues, students, and parents.

    • Active listening skills and the ability to respond appropriately.
    • Strong organizational and problem-solving skills.
    • Knowledge of public school laws, policies, and practices.
    • Ability to operate office equipment (computer, printer, copier, fax machine, telephone, etc.).
    • Commitment to supporting educational excellence.
    • Ability to quickly learn and navigate the Student Information System and other online programs used by the district.
    • Proficiency in computer applications and technology used in the district such as Google Suite applications
     

    Qualifications:

     
    • High School diploma or equivalent required.
    • Related experience in registration, records management, or a similar field is preferred.
    • Alternatively, qualifications as determined appropriate by the Superintendent or Board of Education.
     

    Additional Functions or Responsibilities:

     
    • Attend district functions and meetings as needed, including those outside of regular work hours.
    • Respond to routine inquiries from staff, students, and parents.
    • Become familiar with the district’s residential boundaries for the registration process.
    • Perform additional duties as assigned by the immediate supervisor, director, or Superintendent/designee.
