    Primary Purpose:
    Coordinate the district’s use of student software for scheduling, grade reporting, testing, discipline, and student attendance for the district. Responsible for the preparation and submission of state and federal reports/collections and for the electronic storage and records retention for the district.
     
    Qualifications:
    Education/Certification:

     
    • Bachelor’s degree or equivalent experience
    Special Knowledge/Skills:
    • Comprehensive knowledge of state and local regulations, including PEIMS Data Standards, the Student Attendance Accounting Handbook, and laws related to student data, attendance, and discipline coding
    • Proficiency in maintaining accurate, auditable records, and analyzing complex information
    • Expertise in Student Management Systems (preferably Skyward) and report-building tools
    • Ability to develop and deliver training materials for staff
    • Advanced skills in creating and managing spreadsheets, databases, and documents
    • Strong problem-solving abilities for application software troubleshooting
    • Exceptional organizational, communication, and interpersonal skills with a proven ability to meet deadlines
     
    Experience:
    • Minimum of three years’ experience as a district PEIMS Coordinator preferred
    • At least three years’ experience using a Student Management System is required
    • Experience with TSDS and other TEA reporting sites is preferred
    • Experience with Skyward Student Management System, including PEIMS and Data Mining modules, TREx, and Microsoft Excel preferred
     
    Major Responsibilities and Duties Records and Reports:
    • Coordinate and oversee the collection, integration, and formatting of PEIMS data in compliance with PEIMS Data Standards, for submission requirements. Ensuring accuracy through verification checks and timely corrections.
    • Collaborate with campus, business office, personnel staff, and district departments to establish processes that support accurate data coding for PEIMS Submission.
    • Collaborate with the technology department to troubleshoot data collection issues.
    • Develop and implement procedures for data entry, auditing, and reviewing, conducting audits as needed to ensure data integrity. 
    • Submit complete and accurate PEIMS data in Texas Education Agency (TEA)-prescribed format for processing. 
    • Provide training on attendance coding, oversee attendance reporting processes, and maintain required attendance records in accordance with Student Attendance Accounting Handbook. 
    • Maintain and distribute the district attendance handbook and discipline validation reports.
     
    Training and Technical Support:
    • Serve as a liaison with school contacts, providing training and technical support to campuses, business offices, and personnel staff involved in PEIMS data processing.
    • Receive and disseminate PEIMS-related information from ESC and TEA, including changes to PEIMS Data Standards, and ensuring timely communication to staff.
    • Attend all regional PEIMS workshops and relay key information to appropriate staff.
    • Develop training materials and provide technical support for district-level programs.
    • Provide attendance training and support to campuses and district-level personnel.
    • Provide discipline entry training and support to campuses and district-level personnel.
    • Ability to develop and maintain systems documentation and technical assistance manuals.
     
    Other:
    • Ensure compliance with federal and state laws, State Board of Education rules, and local board policy.
    • Compile, maintain, and file all required reports, records, and documents in both physical and electronic formats.
    • Respond promptly to local, state, and federal requests for information.
    • Maintain confidentiality.
    • Participate in staff development, faculty meetings, and special events as needed.
    • Maintain punctuality in all areas.
    • Maintain a positive attitude.
    • Serve as a positive role model for students.
    • All other duties as assigned by the supervisor.

    • None.

    • Ability to perform mathematical calculations. Repetitive hand motions; prolonged use of computer.
