Oak Park Elementary School District 97 is a PK-8 elementary school district serving the students of Oak Park in Cook County, Illinois. Oak Park is a village in Cook County, Illinois, adjacent to Chicago. It is the 29th-most populous municipality in Illinois with a population of 54,583 as of the 2020 U.S. Census. The district consists of 8 elementary schools and 2 middle schools which serve 5,532 students.

About This Role
Join our dynamic school district team as an Administrative Assistant at the district office! In this crucial role, you will provide comprehensive administrative support to ensure the smooth operation of district-wide functions, in alignment with our district’s equity commitments as expressed in Board Policy 7:12: Ensuring Racial and Educational Equity.
Your responsibilities will include providing a wide variety of complex and confidential administrative assistance support to an assigned department/area; conveying information regarding the functions and procedures; and ensuring efficient operations and systems of support, in a customer-centered, policy-guided manner. Essential Role Responsibilities:
Provide assistance to families, staff, and administrators by coordinating a wide variety of projects, functions, and/or program components
Maintain a wide variety of manual and electronic documents files and records (e.g. budget data, employee records, financial records, reports, etc.) for providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements
Monitor various activities on behalf of assigned Administrator(s) (e.g. program components, meeting arrangements, account balances, work order status, etc.) for achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements
Participate in various meetings, workshops, and/or trainings for providing or receiving information, recording minutes, and supporting the needs of the attendees
Prepare a wide variety of processes, documents, and reports, of confidential and non-confidential nature (e.g. student and staff reports, department meeting processes, contracts for vendors, correcting procedures manual, itinerant staff work schedules, updating employment application lists, usernames and passwords, etc.) for documenting activities, providing written reference, and conveying information.
Present information on administrative procedures (e.g. department/program policies, submission procedures, etc.) for orienting new personnel and/or disseminating information to existing personnel
Procures supplies and materials for maintaining availability of required items
Monitor a wide variety of activities on behalf of assigned Administrator(s)
Enter, gather, and perform data analysis involving student information
Coordinate with school staff regarding state and federal grants, district initiatives, and programs
Answer phone calls and provide assistance to parents and school staff
Create written district communications
Assist with the creation and maintenance of various state and federal reports and grants

Education, Credentials and/or Experience
Previous administrative experience required
Proficient in Microsoft Word, Excel, and PowerPoint
Proficient in Google Suite (Docs, forms, and sheets)
Previous experience with Illinois State Board of Education data collection systems and reporting
Physical Requirements:
This position requires the performance of light work—which requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects. The position includes close visual acuity, frequent talking, hearing, walking and standing, occasional lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. The job is performed in non-hazardous environments and a clean atmosphere.
