Job Position: Administrative Assistant to BVMS Principal
Start Date: August 2025, some training prior to starting may be needed.
Starting base pay $19.00/hour (placement on pay scale is dependent upon experience)
Overview
The mission of the Buena Vista School District (District) is to ensure every student reaches the peak of success. The Buena Vista Middle School (BVMS) is interested in finding an energetic Administrative Assistant to the Principal to join in the long and proud tradition of excellence. The potential candidate must be able to support the values of Buena Vista Middle School and uphold the Buena Vista School District mission.
A strong candidate will represent the “face” of BVMS and must be able to effectively communicate with all district employees, students, parents and the community at large. This assistant will possess exceptional organizational skills, the ability to multi-task, and prioritize, all while offering kind assistance. This candidate must understand the importance of holding all things confidential and have the conviction to not disclose private and sensitive information to colleagues, the community, or at home. A strong candidate will understand this position is similar to organizing and running an office in an organization of staff. Our product is customer service and our "customers" are our students, parents, and the community. Therefore, the candidate must have extraordinary customer service skills. Other responsibilities include budgeting, fulfilling daily obligations, and meeting deadlines.
Under the direct supervision of the School Principal, this candidate will provide a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and assist in ensuring compliance of school activities with legal, administrative and District policy.
Essential Functions:
- Composes documents and reports for the purpose of requesting or providing information and confirming events, etc.
- Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees, students, parents, and others regarding activities, events or other work-related matters.
- Assists in coordinating school activities and functional responsibilities related to subject areas over which the school has oversight.
- Attends school and other related meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Assists in maintaining the daily/weekly/monthly calendar of the school for the purpose of organizing and coordinating the scheduling of work-related duties, appointments, activities, meetings, etc.
- Assists in planning and scheduling school events and activities.
- Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
- Answers telephone calls and provides information and assistance to callers.
- Orders and maintains supplies.
- Collects activity deposits and posts to corresponding accounts.
- Reconciles activity accounts to bank statements.
- Reconciles activities and lunch fund to student level online system.
- Issues checks and invoices with appropriate support document.
- Adheres to District Cash Procedures.
- Serves as liaison with outside organizations related to school matters.
Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

Travel Requirements
Limited travel to and from meetings may be required.

- Ability to work outdoors during outdoor student activities.
Education - High School graduate
- College level coursework in business, word processing, and office procedures or work equivalent.
- Successful experience with office management in related area preferred.
- Associates or Bachelor's degree preferred.
FLSA STATUS: Non-exempt, At-Will
TERMS OF EMPLOYMENT: 190-days per academic year (pro-rated mid-year hire)
PHYSICAL DEMANDS: Works in standard office building environment.
