    Position:  District Secretary - Student Services/State Reporting

     

    Description

     

    Under the supervision of the Superintendent, Principal, and Director of Student Services facilitates Special Education services support needs, and State & Federal Grant support needs, and State Reporting requirements

     

    Qualifications

     
    • Proficiency using a variety of technology and software including word processors, spreadsheets and databases

    • Capacity to learn new software and apply skills within the work environment. 

    • Previous experience in a school district setting preferred

    • Candidates must possess strong collaborative, communication, organizational and computer skills

     

    Rate of Pay

     

    Approximately $30,000 annually

     

    Work Calendar

     

    12 month calendar with holidays and vacation days per Board Policy 5:330

     

    Hours

     

    23.5 hours per week (0.625 FTE)

     

    Essential Job Responsibilities:

     
    • Works collaboratively, understands and carries out oral and written instructions, and interacts positively with a diverse community. 

    • Works independently, engages with the public, and appropriately communicates information to District administration and staff, as well as to the community while practicing confidentiality of specific District information as necessary.

    • Participates in professional training & job-specific webinars to ensure ongoing certification as well as staying up-to-date on job specific content specific knowledge. 

    • Ability to manage physical demands of job: walking, navigating stairs, sitting for long periods of time, and lifting material.

    • Demonstrates ethical behavior and confidentiality of information about students in school environment and community 

    • Supporting clerical needs for schools

    • Oversees the maintenance, care and security of all student records

    • Manages student database system

    • SIS-keep student records current and upload into ISBE SIS, uploading data through teacherease.  Coordinate and collaborate with building secretaries for accurate student data

    • Completes various Illinois State Board of Education reports

    • Supporting the health offices

    • Input required reports and data into State of Illinois information portals. Facilitate student information system roll-over.

    • Facilitate state assessment data input

    • Respond to needs of staff, students and/or parents, and the community in an engaging and supportive manner

    • Notary

    • Maintain job manual and cross-train with District staff as assigned

    • Helps to maintain a positive school district environment, utilize appropriate language, interactions and positive discipline and model positive behavior 

    • Meet and greet visitors to the school

    • Process visitors through the background check system

    • Support SST including coordination of calendar(s) maintain Special Ed files and database

    • Facilitate reporting for Special Education, State & Federal Grants, 504, and Civil Rights Data Collection

    • Maintains a safe working environment 

    • Some lifting of students, equipment, or materials may be required, not to exceed forty (40) pounds. Lifting of over forty (40) pounds will require the assistance of another adult 

    • Perform such other duties as may be assigned by the Superintendent or Administrative designee
