    QUALIFICATIONS 
    1. High School Diploma or equivalent
    2. Minimum of one year experience in performing general office work with emphasis on student data collection, or an equivalent combination of experience, education and/or training that demonstrates desired knowledge, skills and abilities.
    3. Working knowledge of computer word-processing and Microsoft Office applications, and Google. 
    4. Knowledge, skill and or experience in the implementation of Positive Behavior Intervention Supports (PBIS) strategies or be willing to receive training in those strategies
    5. Ability to obtain a valid Arizona IVP Fingerprint Clearance Card
    6. Ability to obtain and maintain Arizona Notary through the State of Arizona.
     
    KNOWLEDGE, SKILLS AND ABILITIES 
    1. Strong organizational, time management, and record-keeping skills. 
    2. Ability to communicate effectively verbally and in writing
    3. Ability to follow written and/or verbal instructions.
    4. Ability to demonstrate interpersonal and problem-solving skills
    5. Ability to demonstrate exceptional customer service skills
    6. Ability to operate standard office equipment and use computers for email communications, word processing, data management, and other assigned tasks as related to the position.
    7. Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
    8. Ability to work cooperatively and courteously with staff, students, parents, and community members.
    9. Utilize, with fidelity, the District Positive Behavior Intervention Support (PBIS) program at the building level.
    10. Ability to understand and maintain students’ and parents’ rights to confidentiality and not violate those rights; nor discuss students in inappropriate places or with anyone not in direct contact with such individual students.
    11. Ensure information obtained through the course of duties associated with this position, is held in the highest of confidentiality.
    12. Perform all duties in accordance with Federal and State laws, district procedures, and Board policies, including mandatory reporting procedures.

    PRIMARY DUTIES AND RESPONSIBILITIES
    1. Perform confidential and routine District registrar assignments, applying knowledge of the school district organization, policies, and processes applicable to the function and office routines.
    2. Receive visitors, answer inquiries, and provide general information relevant to the department, registration process, schools, and district
    3. Ensure accurate data entry of all student information into the student management system (SMS) within required timelines, including the continual update of existing information, ensuring accurate and current information for all students at all times.
    4. Process completed registration and notify school sites for scheduling and cumulative record management.
    5. Work collaboratively with school sites regarding student withdrawals, aligned with processes.
    6. Manage check-in and check-out processes and communications regarding students coming to or leaving the district.
    7. Ensure appropriate staff at all levels are aware of vital student situations, including custodial issues, 504 plans, special needs, etc., following confidential requirements.
    8. Maintain archived student permanent records in compliance with USFR requirements and Federal, State, and local laws, regulations, and policies.
    9. Prepare entry and withdrawal reports for the sites and district-level personnel as needed.
     
    PHYSICAL DEMANDS

    While performing the duties of this job, the employee is required to reach with hands and arms, sit, stand, walk, stoop, and bend as necessary. The employee may lift, carry, push, pull, or otherwise move objects weighing a minimum of 10 pounds and could occasionally lift or move up to 20 pounds. The employee will read correspondence and computer screens, and use the telephone.   
     
    WORK ENVIRONMENT
    Indoor office environment. This position regularly works indoors. The noise level in the work environment is quiet to moderate and may become excessively noisy at times. Will have substantial contact with parents, students, staff, and the public.
     
    ORGANIZATIONAL RELATIONSHIPS
    The Registrar reports to the Information Management Supervisor.  The Registrar will interact cooperatively with all other staff positions.  All elements of good human relations will be practiced.

    TERMS OF EMPLOYMENT
    INITIAL WAGE PLACEMENT PLAN: Starting at $14.85  Per Hour
    WORK YEAR:           12 Months/8 hours
    FLSA Status:              Non-exempt
