Qualifications
Administrative assistant and/or school experience preferred.
Strong organizational skills with attention to detail and accuracy.
Proficient in Microsoft Office Suite, especially Excel and Outlook.
Knowledgeable with Google Suite.
Excellent communication and customer service skills.
Ability to work independently while managing multiple tasks.
Maintain confidentiality.
Roles and Responsibilities
Reconcile monthly department credit card statements by collecting, organizing, and submitting all supporting receipts in compliance with district procedures; follow up on any missing documentation or discrepancies in a timely manner.
Provide general clerical support, including scheduling, data entry, maintaining accurate records, and preparing routine reports for both Operations and Transportation Departments.
Serve as the primary point of contact for the Transportation Department, including responding to phone calls, emails, and in-person inquiries from staff, families, and drivers in a professional and courteous manner.
Assist in coordinating daily school transportation operations, including managing driver schedules, route updates, field trip requests, and student transportation records in collaboration with building secretaries and routing staff.
Maintain and track transportation personnel documentation, including certifications, physical renewals, and training records; support timely communication of transportation-related updates such as delays, closures, or route changes.
Process and manage purchase orders, supply orders, and vendor communications for both Departments; support budget tracking and reporting as needed.
Coordinate and monitor maintenance requests, facility usage schedules, service calls, and work order follow-ups; maintain records for district equipment, service contracts, and compliance documentation.
Collaborate effectively with multiple departments and staff members to ensure smooth operation and communication.
Maintain confidentiality and demonstrate professionalism at all times in handling sensitive information and interactions.

This is a 52-week position. This position is Non-Bargaining affiliated. Qualifications
High school diploma
Associate’s Degree or equivalent, preferred
Proficiency in use of technology and applications such as Google, Microsoft Suite, etc.
Willingness to collaborate and learn new skills
Strong level of communication skills, both verbal and written

Ability to establish priorities and resolve problems in a fast-paced environment

Essential Duties and Responsibilities
Perform administrative support tasks (e.g., answering telephones, mail handling, filing, faxing, photocopying).
Maintain calendars, coordinate meetings, and monitor day-to-day correspondence.
Type and disseminate correspondence, meeting minutes, and other documentation.
Coordinate and implement recruitment and enrollment activities for Early Childhood Programs, Latchkey and Summer Time Learning opportunities.
Evaluate, design, and monitor systems to process enrollment applications, including determining eligibility and selection criteria.
Organize and maintain record-keeping systems to ensure compliance with local, state, and federal policies and procedures.
Maintain student databases with accurate and relevant information.
Track and assess data related to Early Childhood programs (e.g., student attendance, billing, illnesses).
Prepare reports pertaining to Head Start, GSRP (Great Start Readiness Program), CACFP, billing and other relevant standards.
Support in Licensing Compliance requirements.
Submit the Communicable Disease Report to the Department of Public Health as required.
Collect, maintain, and organize required documents for Early Childhood grants.
Monitor grant-related correspondence, purchase orders, and other program expenditures to ensure compliance.
Work with community agencies and assist in preparing and sharing relevant information with families.
Perform other special assignments as requested by the Supervisor, contributing to the continuous improvement and success of Early Childhood Programs.
Other duties as assigned by Supervisor.
This position reports to the Early Childhood Principal.
